This is a developmental position with promotion potential to the Administrative Specialist, GS-0301-09. At the lower grade levels, the selectee will perform developmental assignments under closer supervision than required at the full performance level of a GS-09. Assignments become progressively more difficult until the next performance level is reached. At the full performance (GS-09) duties include:

As a Administrative Specialist, you will:

  • Manages unforeseen administrative problems.
  • Independently gathers information and prepares reports, letters, memoranda, and administrative procedures or forms relating to activities within the organization.
  • Coordinate travel arrangements.
  • Responsible for initiating, preparing, and communicating instructions regarding administrative procedure.
  • Independently merge and edit the calendar events for staff.
  • Coordinate procurement request packages.
  • Protect sensitive information concerning organization activities and employees, ensuring confidentiality to prevent inadvertent disclosure.
  • Keep time and attendance records.

SPECIALIZED EXPERIENCE REQUIREMENTS: GS-7: (*PLEASE ENSURE YOUR SPECIALIZED EXPERIENCE IS IDENTIFIED CLEARLY IN YOUR RESUME)

A qualified candidate's online application and resume must demonstrate at least one year of specialized experience equivalent to the next lower grade level GS-5 in the Federal service.

Specialized experience is defined as:

  • Initiating, preparing, and communicating administrative procedures that are consistent with agency's policy and procedures.
  • Preparing and tracking procurement requests and actions using agency-wide computer system and reconciling small purchase requests.
  • Coordinating correspondence, assigning actions to appropriate individuals, obtaining extension of due date when necessary, coordinating responses, assuring timely completion, and maintaining official records of correspondence.
  • Coordinating travel arrangements for staff, including entering travel orders and vouchers using agency-wide computer system.
OR

EDUCATION: 1 full year of graduate level education or superior academic achievement.

OR

COMBINATION OF EXPERIENCE AND EDUCATION:
A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide the total number of completed graduate semester hours (or equivalent) beyond the first year (total graduate semester hours minus 18) by 18. Add the two percentages. (NOTE: You must attach a legible copy of your transcripts.)

SPECIALIZED EXPERIENCE REQUIREMENTS: GS-9: (*PLEASE ENSURE YOUR SPECIALIZED EXPERIENCE IS IDENTIFIED CLEARLY IN YOUR RESUME)

Specialized experience is defined as:
  • Independently perform multiple administrative support functions to include: Initiating, tracking and facilitating procurement actions; coordinating, collecting, and archiving human resources-related paperwork and aid employees for typical personnel actions; tracking, monitoring, and providing employee reminders for mandatory procedural or professional training; tracking administrative data, gathering information, preparing reports, letters, forms, memorandums, and/or coordinating travel arrangements.
  • Review, implement, and provide assistance to employees regarding administrative guidelines, procedures, and processes and/or office automation/information systems.
  • Coordinate administrative support processes with other administrative specialists.
  • Perform research for a variety of HR administrative or management initiatives.

OR

Master's or equivalent graduate degree or 2 full years of progressively higher level graduate education leading to such a degree or LL.B. or J.D if related.
