Summary

Provides administrative information and assistance to the manager of the unit and staff, on the practical and technical aspects of office administration, to include budgeting, acquisition and property management, human resources, and other administrative support services, to perform staff support work in each of these areas.

Help

The major duties of the Administrative Support Assistant (OA) position include, but are not limited to, the following:

  • Prepare and submit time and attendance information for multiple divisions.
  • Prepare travel authorizations and vouchers using software programs such as Concur Travel or similar.
  • Use Outlook mail and Outlook calendar or similar electronic calendar programs to coordinate events or meetings.
  • Use database management programs to enter, record, and track complex information.
  • Use word processing software to create, format, and edit documents, reports, letters, or other correspondence.

  • Selectee will be required to participate in the Direct Deposit Electronics Funds Transfer Program.

  • You may be required to travel overnight away from home up to 3 nights per month. You must obtain a government charge card for travel purposes.

  • Applicants must be at least (1)18 years old or (2) at least 16 years old and: (a) Have graduated from high school or been awarded a certificate equivalent to graduating from high school; or (b) Have completed a formal vocational training program; or (c) Have received a statement from school authorities agreeing with their preference for employment rather than continuing their education; or (d) Be currently enrolled in a secondary school and either work only during school vacation periods or work part-time during the school year under a formal student employment program.

Qualifications

All qualifications must be met by the closing date of this announcement-10/20/2022-unless otherwise stated in this vacancy announcement.

Credit will be given for all appropriate qualifying experience. To receive credit for experience, your resume MUST clearly indicate the nature of the duties and responsibilities for each position, starting and ending dates of employment (month/year), and the resume must reflect full and/or part-time or total number of hours worked (i.e., work 40+ hours a week, rather than indicating full-time). If part-time, the hours must be annotated to be able to pro-rate the amount of qualified specialized experience.

SELECTIVE FACTOR: The duties of this position require the ability to type at least 40 words per minute, and typing at least 40 words per minute based on a 5 minute typing sample with three or fewer errors, is required. DOCUMENT YOUR TYPING SPEED IN YOUR RESUME OR APPLICATION MATERIALS. You will be rated ineligible if you do not meet this selective factor. Candidates who do not meet this requirement by close of this announcement will receive no further consideration for this position.

To qualify for this position at the GS-07 grade level, you must possess of the following minimum qualifications by close of the announcement:

SPECIALIZED EXPERIENCE: At least one full year of specialized experience comparable in scope and responsibility to the GS-06 grade level in the Federal service (obtained in either the public or private sectors). This experience must include all of the following: Provide a wide variety of administrative services to enable efficient operation of a business or program office; analyzing work functions and processes to identify process improvements; serving as a front line representative in a business organization to answer phone calls, greet customers and determine their needs for appropriate referral; processing time and attendance records with accuracy; processing travel authorizations and travel vouchers; and reviewing written correspondence in an office setting to ensure proper format and grammar.

Work limited only to simple clerical tasks with limited decision making (typing, answering phones, filing, data entry, etc.) are not considered equivalent to the GS-6 grade level. You must include hours per week worked.

You must include months, years and hours per week worked to receive credit for your work and/or volunteer experience. One year of specialized experience is equivalent to 12 months at 40 hours per week. Part-time hours are prorated. You will not receive any credit for experience that does not indicate exact hours per week or is listed as "varies". Experience listed as full-time will be credited at 40 hours per week.

Volunteer Experience: Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Education

There is no substitution of education for experience at the grade level(s) of this announcement.
