The Office of the General Counsel (OGC) at the Department of Health and Human Services (HHS) is seeking a Management Assistant (OA) to join its office in Seattle, Washington (also referred to as Region 10 or Region X) The Seattle office provides comprehensive litigation services, legal advice, counseling, and negotiation services to the Department, with an emphasis on services to those HHS agencies that have staff present in the Region 10 states of Alaska, Idaho, Oregon, and Washington. We have a diverse and collegial office with eight (8) attorneys and two administrative legal resources staff. The Management Assistant provides support to the entire office. All staff are expected to work independently and as a team with more than 500 OGC colleagues around the nation. WHAT YOU'LL BE DOING DAY TO DAY

As a Management Assistant (OA) you will:
- Provide basic office support functions, such as answering phones, handling mail, ordering supplies, and other support as needed for the office.

- Provide general administrative and legal support services to the Chief Counsel and all office staff, to include copying, printing, labeling, and scanning documents, accurately compiling and indexing electronic and paper documents, uploading and downloading documents including materials to be submitted as evidence or exhibits.

- Prepare all travel arrangements , travel orders, and vouchers for reimbursement using multiple online travel management systems.

- Handle timekeeping for the office, working with the Chief Counsel and the Operations Specialist to ensure timely and accurate.

- Be required to use a government-furnished computer to use email, word processing and electronic document management systems, electronic court filing, and to participate in meetings and conference calls which may be digital (i.e. Zoom, WebEx, MS Teams, etc.) or in person.

- Handle confidential, protected, and/or sensitive information in accordance with standards for honesty, integrity, and ethics.

- Review and prepare correspondence and documents prepared for signature of the Chief Counsel and other staff for conformance with format, grammar, spelling, correspondence regulations, etc.

- Use various computer software programs on personal computer to produce a variety of documents, including databases and spreadsheets to enter, revise, sort, calculate, and retrieve data for reports.

WHAT WE ARE LOOKING FOR

GS-08
Minimum Qualifications: You must have one-year specialized experience to perform successfully the duties of the position. To be creditable, specialized experience must have been equivalent to at least the GS-07 grade level in the Federal service performing at least 4 of the 6 of the following:
(1) Providing office support functions, both virtually and in person, using government furnished equipment, software, and programs.
(2) Preparing clear and concise correspondence with correct punctuation and vocabulary and formatting;
(3) Handling timekeeping and travel for up to 12 people.
(4) Working independently and with larger groups.
(5) Working with people from a variety of backgrounds; and
(6) Adapting to changing priorities and manage multiple tasks.

Minimum Qualifications: You must have one-year specialized experience to perform successfully the duties of the position. To be creditable, specialized experience must have been equivalent to at least the GS-08 grade level in the Federal service performing at least 4 of the 6 of the following:
(1) Preparing reports for senior leadership review;
(2) Organizing evidentiary materials and maintaining large litigation files;
(3) Preparing travel orders and vouchers for office staff.
(4) Reviewing timekeeping records for errors, working with others to resolve.
(5) Reading and/or explaining policies and regulations related to timekeeping and government travel.
(6) Manage duties successfully with minimal supervisory instruction.

AND
QUALIFIED TYPIST: This position requires a qualified typist, able to type a minimum of 40 words per minute. You must self-certify your proficiency or provide performance test results and/or certificates of proficiency (acceptable within 3 years).
