Summary

The Administrative Assistant will report to the Executive Director - TI. This position is located in the Inspector General Criminal Investigator Academy (IGCIA) also known as the "Academy" located on the Federal Law Enforcement Training Center (FLETC), Brunswick, Georgia. The incumbent for this position will be under the daily and operational supervision and oversight of the IGCIA Academy Director.

Duties

Help

The incumbent performs administrative support services to facilitate the work of the office and overall organization. Such duties include but are not limited to direct support for training program set up, assist, or assign to author training notifications and distribute via GovDelivery, assist with maintaining/developing the class portals with logistical and class materials, assist with maintaining class information and forms via Smartsheet. Demonstrates considerable independence in planning time and assisting the program managers and use assigned resource to accomplish projects/programs/activities. Ensures all prerequisite training, enrollment and pre course forms are completed in a timely manner. Consults with Director or program manager to identify training needs and translate them into training opportunities, and/or training plans. Typical assignments may include compiling, tracking, and analyzing data to ensure compliance with policies and procedures; providing guidance, identifying, analyzing, and recommending solutions for complex/difficult problems; and recommending improvements to systems and processes. Collaborates with the Director and program manager to develop comprehensive training material. The incumbent will coordinate travel for the Academy; mail functions involving mail-processing operations related to the prompt and systematic flow of material between the originators and ultimate receivers; produce a variety of correspondence, reports and documents based on research, program knowledge and professional skill in use of equipment and systems; preparing recurring and special reports; managing the Academy Director's calendar.

Reviews Academy documents, analyzes data, and summarizes information for the Academy Director. Maintains an automated tracking system to ensure that responses to action items and correspondence are prepared in accordance with established deadlines. Assists in the development of procedures for the Academy's correspondence, including action memo's, official correspondence, etc., that require the signature of the Academy Director or other authorized staff. Handles request for information and resolves or assists in resolving a variety of issues generated by Academy staff.

Assists with collection of data used in a variety of management studies that involve the Academy's efficiencies, budget, organizational functions, training workload, mission changes, training realignments, and other topics as directed. Assists with assignment of resources and proper resources utilization. Prepares charts, graphs, and narrative information used in the analysis and evaluation of training resource assignments as directed. Attends meetings and prepares reports and or minutes of the proceedings.

Assists with travel authorizations and vouchers. Processes voucher and submits to financial servicing vendor. Performs duties as Academy office manager and property custodian. Ensures supplies are stocked, ensure that accountable and non-accountable assets are accounted for, and records maintained.

Qualifications

MINIMUM QUALIFICATIONS: To be considered minimally qualified for this position, you must demonstrate that you meet both the selective placement factor and have the required specialized experience for the respective grade level(s) in which you are applying:

Specialized Experience GS-9:

You must possess at least one (1) year of specialized experience equivalent to the next lower grade level (GS-07) or equivalent experience in the private or public sector performing the following duties:

  1. Applying learning and related technology platforms to increase the effectiveness and efficiency of training and training operations;
  2. Demonstrating proficiency (i.e. independent) with electronic travel systems;
  3. Using automated, graphics programs and equipment to develop and assist in the presentation of well-organized and professional visual aids;
  4. Performing administrative duties, overseeing and implementing a variety of office administrative functions (e.g., coordinating, tracking and maintaining calendars for senior leadership);
  5. Recommending improvements to administrative operations and administrative policy changes;
  6. Creating correspondence, reports and documents for senior leadership; and
  7. Preparing presentations, briefing material and training material.

Specialized Experience GS-11:

You must possess at least one (1) year of specialized experience equivalent to the next lower grade level (GS-09) or equivalent experience in the private or public sector performing the following duties:
  1. Overseeing, managing, coordinating scheduling, various training programs;
  2. Experience with data entry and data analysis; ability to communicate effectively, both orally and in writing with people with diverse backgrounds, and with varying functional and cognitive abilities, particularly in training setting (i.e. face-to-face, hands on); knowledge and skill in use of electronic media, computers and standard and adaptive computer program, as well as computer software and databases;
  3. Ability to establish and create workflow methods and procedures, determine work to be accomplished, set priorities, and meet deadlines;
  4. Communicating in writing to prepare reports, briefing documents, directives documentation, and other correspondence as required;
  5. Making recommendations for changes to existing guidance concerning administrative matters, such as workflow, delegations of authority, regulatory compliance, etc.;
  6. Briefing managers and communicating tentative recommendations regarding efficiency in program operations; and
  7. Conducting studies of administrative work processes to identify, analyze, and recommend solutions to increase productivity and accuracy regarding staff actions and administrative processes.

Background Investigation: To ensure the accomplishment of our mission, CIGIE requires every employee to be reliable and trustworthy.
