As a Supervisory Correspondence Management Specialist, you will:

  • Serve as a supervisor with a staff of analysts who perform work in assigned areas of the Office of the Executive Secretariat, Correspondence Management Group.
  • Oversee and direct day-to-day activities of the Correspondence Management Group.
  • Provide technical direction, guidance, and advice to all team members engaged in specialized work.
  • Plan, direct, and implement services and activities relating to document management.
  • Employe quality management practices to promote continuous improvement throughout the organization.
  • Conduct analytical studies and/or projects related to incoming correspondence, document management, prepare reports and make recommendations.
  • Employ quality management practices to promote continuous improvement throughout the organization including identifying customer and stakeholder expectations; and incorporating learning and continuous improvement into management systems.

  • This position is a Testing Designated Position (TDP) subject to applicant testing and random drug testing. Applicants who are tentatively selected for appointments to this position will participate in drug urinalysis testing.
  • This position has been designated as Critical-Sensitive, High Risk and requires a security clearance at the Q level. The incumbent is required to obtain and maintain this clearance; failure to do so may result in separation from the federal service.
  • This position is not included in a Bargaining Unit.
  • First-time supervisors will be required to serve a 1-year probationary period.
  • New supervisors are required to complete 80 hours of supervisory training, of which 40 hours must be completed during your first year as a supervisor.
  • In accordance with Executive Order 14170, applicants are encouraged to respond to the four short, free responses, essay questions in the questionnaire. Answers to these questions are not scored or rated.
  • Your answers to the essay questions will be reviewed by the hiring manager and agency leadership if you are referred for selection consideration.

Qualifications

SPECIALIZED EXPERIENCE REQUIREMENTS: A qualified candidate's online application and resume must demonstrate at least one year of specialized experience equivalent to the next lower grade level GS-12 in the Federal service. Specialized experience for this position is defined as meeting 4 of 5 of the following:

  1. Reviewing, analyzing, and assigning incoming unclassified and classified documents papers and correspondence addressed to and for the signature of DOE senior leadership to ensure standard operating procedures are followed and assignments are accurate.
  2. Utilizing a web-based document management system that supports document and correspondence management.
  3. Providing guidance to internal and external customers by reviewing documents and correspondence to ensure accuracy of assignments, action requested, and timely due dates for responses in support of the Department's mission.
  4. Assessing the effectiveness of incoming document management processes and procedures to identify areas for streamlining and improvement.
  5. Serving as a primary point of contact or liaison for organization staff on headquarters security policies and procedures.

Education cannot be substituted for specialized experience at the GS-13 grade level.
