Duties

Help

  • Performs a wide variety of administrative duties and serves as the point of contact for the Transportation Department in the coordination of meetings, schedules, conferences, hearings, and other key organizational activities.
  • Maintains automated office correspondence tracking systems. Provides input to and/or reviews all external/internal correspondence and documents to ensure that position, policies and direction is accurately stated and that all information is properly coordinated.
  • Serves as Records Coordinator, occasionally serving as team leader and subject matter expert on assignments to review records management policy, plans, procedures and goals.
  • Receives and processes all incoming mail, faxes and electronic mail by logging in, electronically scanning and filing, and tasking the staff to complete follow up actions.
  • Assist with the coordination of meetings, conferences, special projects and training classes.
  • Makes travel arrangements, maintains office supplies and services, contacts vendors and coordinates repair of equipment.
  • Manages front desk and ensures all phone calls and visitors are received with courtesy and directed to appropriate staff.

Qualifications

EXPERIENCE AND EDUCATION REQUIREMENTS: (OPM Operating Manual, Qualification Standards for One-Grade Interval Clerical and Administrative Support Positions, GS-0303).

GS-6: 1 year of specialized experience equivalent to at least the GS-5 grade level in the Federal service (obtained in either the public or private sector), which involved administering a records management program; prepare and review correspondence; making travel arrangements and processing vouchers; arranging for conferences, meetings, and training sessions; ensure that all requests for action or information are acted upon and due dates are met; assist with budget activities; process time and attendance records.

Merit Promotion candidates must also meet time-in-grade requirements by the announcement closing date.

COLA (COST OF LIVING ALLOWANCE): Government employees in Alaska receive a cost of living allowance presently equivalent to 1.69% of the base salary. This allowance is tax free for federal income tax purposes. The COLA is subject to annual OPM Review. Survey results may determine that the COLA could possibly be reduced or eliminated at specified times.

The full performance level of this position is GS-6.

TELEWORK: Indian Affairs has determined that the duties of the position are suitable for telework and the selectee may be allowed to telework with supervisor approval.

As a incidental motor vehicle operator position, you may be required to operate a government-owned or leased motor vehicle in the performance of duties; therefore, a valid driver's license is required and be able to meet the safe driving requirements of the Bureau of Indian Affairs (25 IAM 4 Motor Vehicle Safety Program).mediately preceding submittal of GSA Form 3607 and be able to meet the safe driving requirements of the Bureau of Indian Affairs.
