Summary

This position is in the Office of Inspections (ISP), Office of Inspector General (OIG) for the Department of State and the U.S. Agency for Global Media (USAGM). ISP conducts inspections of overseas missions, domestic operating units, and high-risk areas of programs. The incumbent serves as the ISP Administrative Coordinator, directing the full spectrum of ISP administrative functions.

Duties

Help

The Administrative Coordinator (1) leads and oversees the day-to-day operations of ISP's administrative team to ensure delivery of administrative services that effectively support ISP's mission and objectives, (2) develops and communicates ISP administrative practices and procedures, (3) liaises with OIG's Executive Office (OIG/EX).  

The incumbent of this position:

  • Leads a team of at least three personnel who staff ISP’s administrative team. Establishes team milestones, provides direction, monitors and reports on the status and progress of work, represents the team in interactions with the supervisor and ISP leadership.
  • Directs office time and attendance responsibilities and performs routine audits of timekeeper reports and records.
  • Supports ISP personnel recruitment and selection.
  • Oversees review of employee travel documentation and serves as the principal liaison with OIG/EX travel staff.
  • Directs unit security officer responsibilities.
  • Ensures the safety and efficient use of ISP office space.
  • Develops office-wide standard operating procedures and guidance on the interpretation and application of Federal, Department, and/or OIG policies and procedures. Recommends and implements actions to resolve problems and improve functions.
  • Integrates and coordinates ISP’s administrative support services with OIG’s Executive Office.
  • Reviews compliance with OIG administrative processes and procedures, reports, and if necessary, takes corrective action independently.
  • Represents ISP in OIG-wide administrative-related working groups.

  • The incumbent may be required to carry a Government Furnished Equipment (GFE) cellular device.

Qualifications

Applicants must have 1 year of specialized experience equivalent to the GS-11 level in the Federal service which provided the applicant with the particular knowledge, skills and abilities to perform the duties of the position. Qualifying specialized experience must demonstrate the following:

  • Experience in leading teams and/or directing the work of others
  • Experience in providing administrative services
  • Experience in interpreting laws, regulations, and policies pertaining to administrative procedures
  • Strong oral and written communication skills
  • Demonstrated knowledge of Department of State and/or Inspector General operations

There is no substitute of education for specialized experience for the GS-12 position.
