Summary

This position is located in a Technical (Ventilation) Group within Enforcement, Mine Safety and Health Administration (MSHA), Department of Labor (DOL).  The incumbent of this position provides program and administrative support, as well as liaison duties in direct support of the supervisor and a cadre of Mine Safety and Health Specialists.

This position is inside the bargaining unit.

Duties

Help

Makes travel arrangements for employees of the work unit. Provides itinerary, secures travel and hotel reservations, and prepares travel vouchers upon completion of travel.

Performs a variety of administrative functions, such as: posts and maintains time and attendance records, distributes supplies, prepares mileage reports, tracks awards, etc.

Researches, gathers and assembles information for use by field office staff in special projects, evaluations, conferences, meetings and FOIA requests.

Maintains records systems for the work unit in support of Division operations. Tracks citations and orders for assessment purposes to ensure submission to the District Office within established time frames.

Receives calls and visitors. Ascertains the nature of the call/visit and determines those which she or he can personally handle or referring others to the appropriate staff.

Receives, reviews and distributes incoming correspondence. Responds to those which do not require the attention of the supervisor or staff. Reviews outgoing correspondence for compliance with policy, procedure, format, grammar, punctuation, etc.

Records and tracks mine plan approval processing. Prepares plan approval and rejection letters. Uploads and downloads daily inspection activities

Required Proficiency: You must have a typing proficiency of 40 words per minute based on a 5 minute sample with three or fewer errors. You must have a certificate of proficiency from an organization authorized to issue such certificates or self-certify your proficiency.

Notification Concerning COVID-19 Vaccinations.  As required by Executive Order 14043, Federal executive branch employees are required to be fully vaccinated against COVID-19 regardless of the employee's duty location or work arrangement (e.g., telework, remote work, etc.), subject to such exceptions as required by law.  If selected, you will be required to be vaccinated against COVID-19 and to submit documentation of proof of vaccination or to be in the process of requesting an exception to the vaccination requirement before appointment or onboarding with the agency.  The agency will provide additional information regarding which forms of documentation can be accepted and how you can request to be considered for a legally required exception from this requirement.

Qualifications

GS-05 Specialized Experience

Applicants must have 52 weeks of specialized experience equivalent to at least the next lower grade level, GS-4, in the Federal Service. This experience may have been gained either in the Federal or private sectors. Specialized experience is experience that has equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled.

Specialized experience for this position is defined as performing administrative duties to support an office, examples of such experience include:

  • Experience reviewing documents for conformance with policy, format, grammatical accuracy;
  • Experience maintaining files and/or filing systems;
  • Experience receiving and routing correspondence;
  • Experience in transcribing correspondence and reports from rough drafts into proper format.

OR

Possess 4 full years of college education leading to a Bachelor's degree which provides me with the knowledge, skills and abilities necessary to successfully perform the duties of this position as described above.
OR

A combination of education and specialized experience listed above and the total percentage must equal at least 100%.

GS-06 Specialized Experience

Applicants must have 52 weeks of specialized experience equivalent to at least the next lower grade level, GS-05, in the Federal Service. This experience may have been gained either in the Federal or private sectors. Specialized experience is experience that has equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled.  

Specialized experience for this position is defined as performing administrative duties to support an office, examples of such experience include:

  • Experience reviewing documents for conformance with policy, format, grammatical accuracy;
  • Experience working with office automation software in order to retrieve, manipulate or modify data from different sources to generate reports, documentation or information used by others;
  • Experience maintaining files and/or filing systems;
  • Experience operating standard office equipment such as printers, photocopiers, facsimile machines, multi-line office telephone systems; and,
  • Experience in transcribing correspondence and reports from rough drafts into proper format.

There is no substitution of education for the GS-06 grade level.
