Duties

Help

Duties at the FV-D Level: You will assist managers and other employees in day-to-day operations. You will compile and track data, schedule meetings, type correspondence, provide standard information on administrative policies, and maintain records.

Duties at the FV-E Level: You will schedule meetings and maintain supervisor's calendar, receive and distribute mail, receive visitors and telephone calls, make travel arrangements, maintain time and attendance records using Castle, use a variety of office automation software, perform property inventory, maintain and revise filing systems, requisition office supplies, equipment and publications, prepares and reviews correspondence for grammatical correctness, enter fiscal data, tracking, reconciling and reviewing data using automation tools such as Delphi, Castle, PRISM, and other databases/software.

Qualifications

To qualify for this position at the FV-D (FG/GS 3-6), you must demonstrate in your application that you possess at least six months of general work experience. General experience is progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled.

To qualify for this position at the FV-E (FG/GS 7/8) level, you must demonstrate in your application that you possess at least one year (52 weeks) of specialized experience equivalent to FV-D (FG/GS 3-6). Specialized experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position. Specialized experience may include : Experience in developing Excel spreadsheets and Microsoft Power Point presentations; maintaining manager's calendar; receiving and screening calls; making travel arrangements; arranging schedule meetings in Zoom and MS Teams and conferences; reviewing/editing correspondence; composing letters/memos; maintaining files and records; and researching, interpreting and applying regulations pertaining to administrative programs.

This position requires the skills of a fully qualified typist. You must be able to type a minimum of 40 words per minute based on a 5 minute sample with three or fewer errors.

Education

Substitution of education or equivalent combinations of education and experience may be qualifying for this position at the FV-D (FG/GS 3-6) only. Successful completion of at least one year of education above the high school level, in any field, can be used to meet the qualifications of the position. Education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.

To qualify based on education, you must submit a copy of your college transcripts by the closing date of the announcement. If selected, official transcripts will be required prior to employment.

In order to meet qualification requirements, at the time the higher level education was obtained, the entire institution, or the applicable curriculum, must have been appropriately accredited by an accrediting organization recognized by the U.S. Department of Education.

Foreign education must be evaluated by a private professional organization specializing in interpretation of foreign education credentials or an accredited U.S. educational institution in terms of equivalency to a degree acquired at an American college or university. A copy of the evaluation results must be included in your application package. If you do not include a copy of the evaluation as part of your application package, your foreign education will not be considered.

There is no education substitution at the FV-E level.
