This position is located in the Smithsonian National Museum of African American History and Culture (NMAAHC), Office of the External Affairs and serves as the principal assistant and advisor to the Associate Director for External Affairs.  Duties include:

  • arranging, preparing and may conduct a variety of meetings for the Associate Director including assembling background material, attending meetings, taking notes of requirements, commitments and decisions made and preparing and distributing minutes, summaries and/or action items;
  • conducting research, drafting documents and/or other materials to assist in preparing the Associate Director for meetings, discussions, presentations, conferences, etc.;
  • serving as liaison for the supervisor and the team of assistants/specialists within External Affairs including managing the office, training and overseeing support staff and providing guidance on administrative and financial programs;
  • participating with key staff members of External Affairs in determining project needs, defining project goals, setting priorities, and developing project work plans;
  • analyzing project needs and determining program requirements, activities and functions;
  • keeping the calendar of the Associate Director and establishing priorities;
  • arranging meetings, contacting participants, assembling correspondence, records, reports, etc.; and
  • composing and reviewing correspondence for the Associate Director and reviewing and tracking correspondence prepared by other unit heads for final review.

Qualifications

Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-11 level in the Federal Service or comparable pay band system.  For this position specialized experience is defined as working in a museum, college or university, historical or cultural institution, nonprofit organization or corporation serving as an assistant and advisor managing operational logistics for an organization or an executive; writing and editing various materials; managing  multiple projects/programs;  communicating orally with key stakeholders.  

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Be sure to note the number of paid or unpaid hours worked each week.

You will be evaluated for this job based on how well you meet the qualifications above.

Your application will be evaluated first for the basic qualifications described above.  The applications that meet the basic qualifications will be evaluated further against the following criteria:
