Summary

This position serves as the primary administrative focal point in the Federal Aviation Administration's (FAA) Western-Pacific Region, Office of National Engagement and Regional Administration (ARA). The position directly supports the Regional Administrator and reports to the Deputy Regional Administrator. The incumbent plans and executes internal and external programs and serves as the working-level liaison between the staff specialists, the lines of business, and Headquarters offices.

• Oversees a variety of administrative support programs such as records management, property inventory, and annual data calls. Responsible for managing various programs as assigned, and assists with regional programs and other special events including, but not limited to, Hotline Operations, International Notifications, NASAO meetings, all-hands meetings, etc.

• Provides administrative support and/or oversight for timekeeping, correspondence, directives and records management, training, FOIA responses, and policies and procedures, as needed.

• Handles special assignments of a confidential nature discretely, ensuring information and actions are accurate, timely, applicable, maintained on a need-to-know basis, and securely stored.

• Routes inquiries, Congressional correspondence, HQ requests and other correspondence to appropriate office(s) and composes or tracks timeliness of responses.

• Serves as the RA’s Purchase Credit Cardholder and performs all associated activities for purchase and validation.

• Plans, coordinates, and schedules RA/DRA meeting schedules including participants from multiple internal and external groups. Collects and organizes documentation for all meetings. Provides administrative support on workgroups and participate on special programs as identified by the RA/DRA.

• Manages Regional Administrators visitors, ensuring visits are well coordinated, materials are available, and appropriate staff members are available for support. Ensures detailed itineraries are complete and briefing materials are ready. Works with Senior Advisor to coordinate tracking of follow-up actions.

• Represents management in conjunction with supervisors for the purpose of obtaining resources, and securing needed information or decisions on major work problems and issues that arise. Articulates and communicates assignments from management to staff. Monitors and reports on the status and progress of work, to ensure organizational deadlines and agency standards have been met.

• In collaboration with Staffing Specialist provides support to managers with the performance management and compensation program, tools and systems. Tracks incoming and out-going employee movement for performance close out and initiation of performance plans.

• Works in a team environment to ensure all front office activities are completed. Provides backup for other administrative positions as necessary and ensures continuous support coverage for the Regional Administrator.

• Assists to support and maintain the ARA quality management system through continuous improvement.

Qualifications

To qualify for this position, you must demonstrate in your application that you possess at least one year of specialized experience equivalent to FV-G, FG/GS-10/11 in the Federal Service. Specialized experience is experience that has equipped you with the particular knowledge, skills and abilities to perform successfully the duties of the position. Specialized experience: Demonstrating skill in using computer software applications to prepare spreadsheets, correspondence, presentations, graphs, etc.
