Duties

Help

Assists managers and other employees in day-to-day operations.Typical tasks may include a variety of administrative tasks in implementing the office's administrative programs, policies, and procedures.Assignments may include the following general office administration. Prepares and manages documents, compiles, tracks, and analyzes information for a variety of programs, enters budget expenditures, purchases and inventory, establishes, organizes, and manages files and records, provides computer assistance, schedules meetings, prepares correspondence, manages time and attendance, provides written or oral explanations of administrative policies, assists with the implementation of new office policies and systems, maintains calendars and travel records.Compiles and consolidates information, and prepares reports for assigned programs. Has a broad understanding of how administrative, financial, and other business support assignments contribute to the activities of the organizational unit. Assists with various analytical studies, such as travel administration, leave usage. etc., under the general direction of a higher level or more experienced employee. Assists in preparing administrative directives or revisions needed to implement recommendations. Collects program information from FAA personnel and enters it into information systems. Tracks transactions through the office in both electronic and paper form. Gathers data, reconciles transactions, and identifies and resolves discrepancies. Reviews travel authorizations and vouchers for administrative and procedural compliance, including proper cost accounting codes and statistical accuracy. Assists in purchasing administrative supplies or equipment/furniture assuring purchases are made through the appropriate channels. Initiates and reviews procurement requests for equipment and other items to ensure local' purchases, depot orders, etc., are conducted according to policy. Ensures justifications of requested items meet criteria for expenditures. Assists in ensuring internal control of property by conducting property inventories via AITS periodically by validating property assignment and locations. Uses a wide variety of computer programs and software applications including CASTLE, eLMS, and E2Travel. Utilizes a variety of financial applications such as DELPHI, REGIS, PRISM,/PCARD, USBank Online etc., as well as Excel to analyze, troubleshoot, and problem solve. Prepares administrative articles, reports, and briefing items. Applies limited experience and detailed knowledge to plan and accomplish assignments tasks. Demonstrates some independence in planning time, but frequently coordinates with a manager to prioritize tasks and use assigned resources. Plans, coordinates, and accomplishes workload, which includes multiple assignments and priorities that support a variety of internal organizations. Established policies provide guidance for majority of work, but some discretion is provided for the employee to select the most appropriate approach. Frequently refers problems and work issues to a manager or more experienced employee. May assist in developing and recommending solutions on some occasions.Contacts are primarily internal to the organizational unit and major subdivision, but may have a significant external component. Serves as a liaison between other offices internal and external to ATO including Service Centers and FAA headquarters. Purpose of contacts is to share information and/or discuss status of assignments. External contacts are typically with customers and other parties on routine matters that relate to assigned tasks. Work is reviewed frequently at major stages of assigned tasks and at completion to ensure timeliness, quality, and alignment with requirements of projects and/or work activities. Work is typically supporting the work of other employees and contribute to the activities of the organizational unit. May be assigned additional duties by management as well.

Qualifications

To qualify for this position at the FV-E level, you must demonstrate in your application that you possess at least one year (52 weeks) of specialized experience equivalent to FV-D, FG/GS-3-6 level. This experience is typically related to the line of work of the position to be filled and which has equipped the applicant with the particular knowledge, skills, and abilities to successfully perform the duties of the position. To be creditable, specialized experience must have been at least equivalent to the next lower level in the normal line of progression for the occupation in the organization.

Specialized experience include but not limited to: Planning and accomplishing basic and routine tasks in support of administrative programs; utilizing automated systems to track, reconcile and report data; compiling and analyzing data; preparing and managing documents and supporting the office in the areas of financial support, personnel matters, personal property, travel administration and other office programs.
