Summary

This position is located in The Smithsonian Institution National Postal Museum (NPM), Collections Department . The employee works closely with another Collections Specialist and with support from the museum’s Collections Department.  The employee will carry out a storeroom inventory, gathering necessary information to design guidelines, templates, and standards for future collection inventories at the museum.

Duties

Help

  • Conducts full physical inventories of prioritized collection areas working in a team-based environment. Accounts for objects through physical examination. Determines if the objects have an accession number and takes the steps necessary to ensure that one is added. 
  • Reviews object condition, rates housing and brings concerns to the attention of the Museum’s conservator. Handles objects in accordance with best practices. Drafts guidelines for annual inventory program at NPM. 
  • Carries out diverse tasks to ensure digital images that meet NPM digital asset standards exist for each inventoried object. Consults collections manager on missing images, and searches DAMs and image files to determine if a digital image exists. Assesses image resolution and image to ensure that the image accurately represent an object.
  • Creates new digital images that meet NPM digital asset standards using either a digital camera or scanner.  For each digital
    image created, enters meta data, links the image to TMS and uploads the image to the SI DAMS ensuring that digital asset management practices and standards are met.
  • Searches the Museum’s collections database, The Museum System (TMS) for corresponding object records, evaluates the data for adherence to NPM inventory data standards and creates or updates the TMS record.
  • Carries out reconciliation of discrepancies between objects and NPM collections records within the context of collections inventory projects. Maintains “Found in Collection” document and follows “Found in Collections” protocols to try and identify material.

Qualifications

Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-7 level in the Federal Service or comparable pay band system. For this position Specialized experience is defined as experience conducting regular physical inventories of the collections of museums, cultural, educational, or historical organizations and experience inputting data in The Museum System (TMS).

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Be sure to note the number of paid or unpaid hours worked each week.

Education: 2 full academic years of progressively higher level graduate education or master's or equivalent graduate degree related to the position.

How you will be evaluated

You will be evaluated for this job based on how well you meet the qualifications above.

Your application will be evaluated first for the basic qualifications described above. The applications that meet the basic qualifications will be evaluated further against the following criteria:

  • Skill to conduct physical inventories of Museum collections. 
  • Ability to create new digital images that meet an organization’s digital asset standards using either a digital camera or scanner.
  • Ability to apply best practices in collections inventory work and able to update The Museum System (TMS)following an organization’s standards for data and imaging.
  • Knowledge of accession files, catalog cards and other museum records that could be consulted when completing collection inventories. 

Applicants who meet or exceed minimum qualifications will be assigned to one of three category groups based on job-related criteria:

Best Category - Meets the minimum qualification requirements and excels in most of the job related competencies above.

Better Category - Meets the minimum qualification requirements and satisfies most of the job related competencies above.

Good Category - Meets the minimum qualification requirements, but does not satisfy most of the job related competencies above to a substantive degree.

This category rating process does not add veterans' preference points or apply the "rule of three", but protects the rights of veterans by placing them ahead of non-preference eligibles within each category. A selecting official may make selections from the highest quality category (Best Category) provided no preference eligible in that category is passed over to select a non-preference eligible in that category unless the requirements of 5 U.S.C. 3317(b) or 3318(b) are satisfied.
