Duties

Help

  • Coordinates logistics and maintains records of committee members, applicants and appointees, and corresponds with them on program matters.
  • Ensures that office procedures and controls for review and appointment of fellows and interns comply with legal IRS requirements and SI guidelines for research collaborator/associate appointments.
  • Supports effective communication strategies, including web and social media tools, to promote fellowships, internships and academic program offerings. 
  • Tracks income and expenditures from a wide variety of Federal and Trust funds.
  • Inventories and orders a variety of goods and services to support the program. 
  • Assists staff members by responding to telephone calls, E-mail and visitors.

Qualifications

Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-7 level in the Federal Service or comparable pay band system.  For this position Specialized experience is defined as supporting the administration and management of intern and fellowship programs; working with/within administrative regulations and operating procedures; applying fact-finding and administrative techniques; financial record keeping and reconciliation; procurement and contracting; delivering information to a public audience; organizing work processes; and working with academic program software.  

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Be sure to note the number of paid or unpaid hours worked each week.

Or Education: Two full years of progressively higher level graduate education leading to a master’s or equivalent degree related to the position may be substituted to meet the experience requirements.

  1. Ability to coordinate logistics and maintain records for an internship and fellowship program.
  2. Ability to ensure that procedures and controls for review of fellows and interns comply with requirements and organizational guidelines.
  3. Ability to assess program needs, promote fellowship and internship opportunities, and selecting, directing, monitoring and evaluating the performance of fellows and interns.
  4. Ability to track income and expenditures from a wide variety of Federal and non-Federal funds.
  5. Ability to procure goods and services including providing market surveys for prices and availability and reviewing contract and purchase orders files to ensure their completeness.
  6. Ability to provide office support.
