Plans, develops, monitors and executes actions required to manage the office's administrative functions. Provides support to supervisors, managers, and other employees in day-to-day operations; which includes the following areas: fiscal management, travel, management information systems, property management, procurements, and overall office management. Conducts studies, analyses and surveys of programmatic, administrative and management methods, and processes and procedures to resolve issues or problems of a procedural or factual nature. Interviews program managers and employees to obtain information about administrative, management and/or programmatic requirements, issues, and activities. Researches, gathers, assembles, analyzes and consolidates administrative, management and/or programmatic information and data to ensure overall accuracy and consistency.
Compiles, tracks, and analyzes information for a wide variety of programs; entering, tracking and analyzing data. Identifies trends and areas where problems exist; develops and presents recommendations for improvements to management. Consolidates detailed operational data into specified formats; develops statistical charts and graphs; and, edits textual material for clarity. Compiles, cross checks and consolidates tables, exhibits, schedules and other data in preparation of internal and external reports. Assists in the development of procedures for establishing, operating, and assessing the effectiveness of administrative control systems. Monitors and tracks programmatic and management actions and reports for completeness and responsiveness to guidance, to ensure that commitments and milestones are met, and delinquencies are brought to the attention of the supervisor or appropriate manager.
Recommends changes/solutions to routine procedural problems. Reviews and analyzes management and program directives and instructions from higher level offices concerning project management systems (planning, execution, evaluation and analysis, and reporting requirements) for consistency, and to report requirements and background information. Utilizes and updates database management information systems.
Assists with the review and presentation of documents; and reports on a variety of issues; and, recommends courses of action, as appropriate to address routine procedural activities. Analyzes reports to ensure distribution, consolidation of comments and required follow-up actions are conducted. Drafts briefing materials, reports and similar documents for use as background by the supervisor, for presentation to senior management on various administrative and management policy, or operational matters requiring preliminary background analysis and review. Attends periodic meetings, and conducts program reviews and documents findings to provide support to these proceedings by gathering specific data, some of which is not readily available and which must be developed or solicited from other offices. Performs other duties as assigned.
To qualify for this position you must demonstrate in your application that you possess at least one year (52 weeks) of specialized experience equivalent to the FG/GS-7 or FV-E. Specialized experience is experience that has equipped you with the particular knowledge, skills and abilities to perform successfully the duties of the position.
Specialized experience may include but is not limited to: compiling, tracking and analyzing information for a wide variety of programs pertaining to fiscal management, travel, management information systems, property management , procurements and overall office management; entering and developing statistical charts and graphs and preparing reports.
