Duties include but are not limited to:

Uses multiple office automation software with varied functions to produce a wide range of documents that often require complex formats, graphics, tables within text, editing, reformatted electronic drafts, updating or revising existing databases and spreadsheets. Independently plans and performs complex office automation duties requiring different approaches and methods from one assignment to another, such as
using different packages to: edit lengthy and complicated reports; collect, select, organize, and provide information; track the status of a number of projects assigned to the ACOS/Education service; and resolve incompatibility problems in transferring text from
software package to another when menu options and specific software instructions are not available.

Prepares a wide variety of recurring and nonrecurring correspondence, reports, and other documents. Composes non-technical correspondence, instructions on office procedures, requests for information, letters of acknowledgment and notification. Consolidates and finalizes information from system and files for various reports in accordance with established reporting procedures. Gathers and summarizes information from files and documents for supervisor's or other staff members' use in responding to inquiries, recognizing which information is or is not relevant to the issue at hand. Proof reads/edits correspondence and documents for correct grammar, spelling, capitalization, punctuation, and format

Receives/greets visitors; and, reviews and processes incoming and outgoing correspondence, materials, publications, etc. Meets visitors and determines if they should be referred to other personnel, or personally answers visitor's inquiries. Answers substantive nontechnical requests for information based on information from records and files. Screens incoming mail and electronic messages to identify what needs to be brought to the attention of the supervisor, referred to appropriate staff, rerouted to other organizations/offices, or handled personally.

Establishes, updates, and maintains office records of various types. Uses a variety of automated systems (e.g., records management, electronic forms, electronic publications library, time, attendance, etc.) and non-automated to perform various clerical duties. Establishes files, maintains, purges, and disposes of records/files in accordance with regulations and procedures.

Performs other administrative work in support of the ACOS/Education. Arranges conferences and teleconferences for staff. Serves as primary Timekeeper for the service, maintaining all files pertaining to· annual, sick leave balances, overtime records, etc. Ensures that overtime requests are submitted in a timely fashion. Prepares and consolidates time and attendance records.

Qualifications

You may qualify based on your experience and/or education as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-4 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: managing large electronic databases; preparing correspondence, updating forms, improving and creating processes; developing and writing local policies and practices; using qualitative and quantitative analytical techniques; multi-tasking complex assignments and time sensitive deadlines; working with leadership in other services/departments; approving travel requests and expense reports; and working with human resources.

  • Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years of education beyond high school level. (TRANSCRIPT REQUIRED)
