The incumbent serves as a Advanced Medical Support Assistant (AMSA) in Radiology/Nuclear Medicine Service. The AMSA works collaboratively in an interdisciplinary coordinated care delivery model within the Radiology/Nuclear Medicine Service Line. The incumbent will interface with numerous computer applications including but not limited to CPRS, VistA, MyHealtheVet, VetLInk, VSE, etc.

  • Manage, plan, and set priorities and deadlines for meeting timeliness of scheduling imaging studies.
  • Coordinates with the patient, interdisciplinary team including the radiologist, technologists, and patients' referring service team, nurses, other VA medical centers, and other agencies.
  • Notify patients of requirements prior to appointment including labs or x-rays; follow up care on imaging orders).
  • Monitors pre-appointment requirements to assure readiness for patient appointment/procedure including X-rays, Lab work, MRI safety screening requirements, etc.
  • Data reports are run from the VistA Radiology Package or Fileman and are used to manage radiology scheduling lists; this includes, pending, hold, and past scheduled exams validating accuracy, resolving issues and disposition of orders as required in accordance with policy.
  • Coordinates patient procedures by verifying pre-procedure workup is complete and meets procedure requirements prior to procedure.
  • This may include evaluating patient information, such as lab results and pre-procedure clinical screening for MRI and/or positron emission imaging (PET) exams to assure readiness for imaging exam/procedure and resolving issues, if needed.
  • Interprets information provided to ensure that the correct exam as ordered by the physician is the one scheduled to be done.
  • Works collaboratively with the Office of Community Care for scheduling of radiologic/nuclear medicine procedures performed in the community.
  • Supports patient safety standards using the correct Veterans Affairs identification of all patients using two forms of identification, name and Social Security Number or DOB.
  • Treats Veterans with dignity, courtesy, and respect in keeping with the principles and practices of Veteran-Centered Care.
  • Communicates with all internal and external customers in a courteous, positive, open, honest, cooperative manner, and treats all with dignity and respect.
  • Responds to all inquiries in person, by e-mail, and telephone in a timely and courteous manner and as quickly as the situation dictates.
  • Resolves all issues and carries them through to completion in a timely manner appropriate to the situation; directs inquires to appropriate personnel or department when unable to personally address the issue.
  • Informs supervisor or appropriate management official of any issue or potential incident where a customer may be dissatisfied or angry as a result of information provided.

Qualifications

Basic Requirements:

  • United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
  • English Language Proficiency: MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j.
  • Certification: None required.
  • Experience and Education:
    • Experience. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR
    • Education. One year above high school; OR
    • Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).

Experience: One year of experience equivalent to the GS-5 grade level.

In addition to the basic requirements, you must meet the following grade requirements. To qualify at this level, candidates must have: One year of experience equivalent to the GS-5 grade level. Examples of credible experience at this level include, but are not limited to: scheduling, canceling, re-scheduling patient appointments and/or consults; entering no-show information; monitoring appointment requests from multiple electronic sources; participating in huddles with other MSAs and/or clinic staff to determine the daily needs of the clinic, monitoring both inpatient and outpatient appointments in areas of responsibility; verifying and updating demographics and insurance information when patients check-in for appointments; coordinates administrative functions relating to emergency and non-emergency transfers to other clinical/medical facilities or private hospitals and determines appointment type based on the patient's eligibility status.

Knowledge, Skills, and Abilities (KSAs). In addition to the experience above, the candidate must demonstrate the following KSAs:
  • Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care.
  • Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc.
  • Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.
  • Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g., medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.
  • Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations.
  • Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns.

The full performance level of this vacancy is GS-6.

Physical Requirements: Work is primarily sedentary; however, the incumbent will have episodes of standing, twisting, bending, sitting and carrying of supplies (up to 40 pounds) in support of the clinical areas assigned.

Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
