Summary

The Supervisory Administrative Services Manager works for the Director of Acute Care within the Office of Patient Care Services, Nursing Service Line and is part of the administrative leadership reporting directly to the Business Manager. The incumbent functions as the administrative manager for the clinical leaders responsible for the Acute Care specialties, which are covered at American Lake, Ft. Lawton, Community Out Based Clinics and Seattle.

Help

The Supervisory Administrative Services Manager will provide direct supervision to staff who are disbursed throughout the Acute Care Section of Nursing Service.

Duties may include, but are not limited to:

Supervision:

  • Planning the work to be accomplished by subordinates by setting and adjusting short-term priorities and prepares schedules for completion of work.
  • Evaluating the work performance of subordinates, developing and/or updating annual performance plan for subordinates and ensuring the staff has competency assessments completed.
  • Interviewing candidates for positions and recommending appointment, promotion, or reassignment.
  • Effecting minor disciplinary measures such as warning and reprimands and recommending other actions in more serious cases.
Program Management
  • Performs qualitative and quantitative analysis for the Acute Care Section of Nursing Service including data retrieval, data analytics, report creation, records and statistical computations for accuracy and propriety.
  • Develops and prepares graphic charts with narrative comments to supplement reporting systems.
  • Assists and provides documentation to the service Contractive Officer Representative.
    • Contracts that would be applicable to Acute Care Section include but are not limited to equipment contracts, personnel contracts and bed contracts.
  • Analyzes and researches workload processes, office procedures, coding practices, statistics, records, reports, and other pertinent issues to work through data issues and assist in determining the best practice for capturing data and ensuring its accuracy regarding Acute Care.
  • Analyzes statistical reports to ensure data is reasonable and if the data is in line with or represents a variance from historical data.
  • Identifies improvement opportunities and coordinates findings with nursing leaders and the Business Officer to implement improvements and resolve deficiencies in Acute Care.
  • Develops and uses budget estimates to make resource allocation recommendations and decisions.
Equipment Program Manager
  • Serves as the Acute Care Section of Nursing Service Equipment Program Manager. Performs management analysis duties related to the Equipment Authorization and Usage Program.
  • Evaluates requests and conducts research of all available information for equipment
    requirements, authorizations, documentation and usage.
  • Advises Business Manager of equipment problems.
Contract/Purchasing Program Manager
  • Maintains overall accountability of all customer packages and funding documents to ensure mission accomplishment directly related to Acute Care Section of Nursing Service.
  • Records and reports the status of contract requests and actively monitors milestones placed upon customers in the procurement process.
Human Resource Responsibilities
  • Responsibility for submitting required documentation to the Business Manager of Nursing Service Line section including directing the development and submission of all Human Resources action documentation.
  • Preparing WebHR to submit SF-52 requests for recruitment, promotion, pay, and loss actions
  • Coordinating all recruitment actions for positions within the Service Line with the Business Officer including ensuring tour of duty requests and board actions for providers are initiated, preparing requests for recruitment and submitting them to the Resource Review Committee (RRC), developing KSA's, crediting plans and following PBI interviewing techniques to ensure the positions are filled with the best candidates.


Work Schedule: Monday through Friday, schedule available: 6:30am - 3pm, 7am - 3:30pm, 7:30am - 4pm. To be discussed during interview.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/05/2026.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-09 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience and/or education as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
    • Clinical operations and workload management in healthcare delivery systems; knowledge of human resources procedures;
    • Basic budget and accounting principles;
    • Analyzation of current or projected operational programs in order to establish priorities and milestones;
    • Analytical tools and techniques used to gather, analyze and report and/or present information;
    • Skilled in oral and written communication in order to prepare and present recommendations and solutions regarding complex issues. OR,
  • Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have: master's or equivalent graduate degree or 2 full years of progressively higher-level graduate education leading to such a degree or LL.B. or J.D., if related (TRANSCRIPTS REQUIRED). OR,
  • Combination: Applicants may also combine education and experience to qualify at this level.
