Duties

Help

The successful candidate will provide a broad range of administrative support to a Division, or equivalent organization. These duties include, but are not limited to:

  • Managing calendars, scheduling meetings, coordinating logistics, and preparing relevant materials.
  • Review correspondence, reports, memoranda, and documents to ensure internal consistency and conformance with established procedures in NRC Management Directive 3.57 "Correspondence Management" and NRC Editorial Style Guide and obtain any necessary concurrences using ADAMS and e-Concurrence
  • Type letters, memoranda, reports, presentation slides, and other necessary material utilizing Microsoft Office 365 applications or other automated systems.
  • Make arrangements for conference rooms to include scheduling (or rescheduling) and coordinate with all parties invited to the meeting; scheduled teleconference or video conferencing services, and ensure that all necessary equipment (projectors, multimedia, etc.) is available and in working condition.
  • Coordinating travel arrangements and preparing travel authorizations and vouchers.
  • Providing occasional backup administrative support across the Office, Division, or Branch.
  • Serving as the Administrative Assistant for an assigned Division, providing comprehensive administrative support and serving as lead support for lower-graded Branch assistants.

Qualifications

In order to qualify for this position, you must have at least one year of specialized experience at the next lower grade level in the Federal service (GG-07) or equivalent experience in the private or public sector.

SPECIALIZED EXPERIENCE is defined as:
Experience performing administrative support duties that demonstrate working knowledge of office procedures, including preparing and reviewing routine correspondence; assisting with scheduling and meeting coordination; helping prepare travel in ETS2; supporting Time & Labor entries in HCM Cloud; maintaining calendars and files; and tracking actions using automated systems. Proficiency with Microsoft Office365 applications (Word, Excel, Outlook, Teams, SharePoint) is expected. Experience with NRC systems such as ADAMS, E-Concurrence, HCM Cloud, TMS, ETS2, and ServiceNow is preferred.

The ideal candidate will be able to demonstrate the following:

  • Demonstrated skill with computer-based applications, including Office365, ADAMS, E-Concurrence, Internet Explorer, Google Chrome, and other database applications (i.e. maintaining automated tracking systems.
  • Demonstrated ability to provide administrative support in a variety of areas (time and attendance reporting, travel, etc.).
  • Writes in a clear, concise, and organized manner. Knowledge of proper grammar, spelling, and punctuation, and correspondence procedures sufficient to prepare and review outgoing material for correctness, proper format, and completeness.
  • Demonstrated ability to work efficiently in handling multiple assignments with competing priorities, often under considerable pressure to meet deadlines.
  • Demonstrated ability to deal tactfully, efficiently and professionally with all levels of personnel, and to work collaboratively within a team.
