This position reports to the Health System Specialist (HSS) to the Medical Center Director in East Orange, NJ.

Major duties include, but are not limited to.

  • Applies new policies, provides advice on requirements, maintains and manages overall administrative systems, and prepares coordinated responses required for routing to the VISN for approval .
  • Troubleshoot administrative problems, coverage for personnel shortages throughout the Executive Office, organizational structure, new technology, program deficiencies, reporting system, etc., to maintain the efficient functioning of the Executive Office.
  • Carry out various assignments of a comprehensive nature designed to assist the MCD and executive leadership in directing and evaluating the effectiveness of the numerous programs and activities, and responsible for maintaining minutes and follow up on all topics discussed during executive meetings and disseminating information to absentees and other responsible parties.
  • Serves as office manager for the Executive office in support of the Associate Directors, Chief of Staff, Chief Nurse Executive, Communications and Outreach, and others as assigned staff.
  • Attends all meetings and records notes, summarizes discussion, distribute minutes developed, and maintains follow- ups to ensure that necessary actions are taken, and keeps the appropriate staff informed.
  • Arranges meetings, develop agenda's, development and preparation of meeting/program materials, conference calls, frequently for large groups of senior level executives, which includes the oversight of all logistics planning and preparation for meetings, including scheduling, mailings; travel, dining and lodging arrangements.
  • Maintains recordings of all meetings, suspense items and time sensitive documents.
  • Oversees the Director's Canteen Fund.
  • Performs other duties as assigned.
Work Schedule: Monday - Friday, 8:00 am until 4:30 pm.

Qualifications

SPECIALIZED EXPERIENCE: One year specialized experience that equipped you with the knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled. To be creditable, specialized experience must have been equivalent to at least the GS-09 grade level in Federal service. Examples of specialized experience include providing overall administrative management and assistance for an executive office, interpreting policies, streamlining procedures, and supporting leadership objectives. Skilled in resolving workflow issues, adapting processes in emergency situations, and making independent decisions. Proficient with Microsoft Office software for data management and reporting. Able to develop effective working relationships and clearly communicate complex information in writing, with strong attention to detail. This experience must be detailed in your resume to receive credit. ~OR~

EDUCATION: A Ph.D., equivalent doctoral degree, 3 years of progressively higher level graduate education leading to such a degree, or an LL.M. in a related field from an accredited institution that demonstrates the knowledge, skills, and abilities necessary to do the work of the position. COMBINATION OF SPECIALIZED EXPERIENCE AND EDUCATION: An equivalent combination of specialized experience and progressively higher level graduate education, as described, that demonstrates your ability to perform the duties of the position. Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
