Duties

Help
  • Maintains supervisor's calendar and schedules meetings and appointments based on overall objectives or priorities as defined or directed by the supervisor.
  • Arranges local conferences or provides support for conferences to include reserving conference facilities and arranging for computer and audio equipment.
  • Receives, reviews, processes and composes correspondence, and is the point of contact for all incoming and outgoing correspondence; determines assignment to appropriate organizational offices and due dates, and tracks to ensure suspense dates are met
  • Uses a computer to produce a variety of materials, i.e., correspondence, technical reports, briefings, tables and forms, as well as LiveLink, SharePoint, Task Tracking System, and other automated tools and systems to complete assignments.
  • Screens incoming calls; determines which calls can be handled by supervisor's subordinates or by employees in other offices and tactfully transfers them, as appropriate.

Qualifications

All qualification and time-in-grade (if applicable) requirements must be met within 30 days of the closing date of this announcement.

You must meet the minimum qualification requirements as stated in the Office of Personnel Management (OPM) Operating Manual, Qualification Standards for General Schedule Positions, http://www.opm.gov/qualifications/Standards/group-stds/gs-prof.asp.

Proficiency Requirement: You must be able to type at least 40 words per minute.

Specialized Experience: In addition to meeting the proficiency requirement, you must have one year of specialized experience at the GS-07 or equivalent level. Specialized experience must be documented in your resume. Specialized experience is defined as: Serving as a secretary or administrative assistant to a senior manager, and establishing and maintaining internal administrative procedures and control of the office, managing supervisor's calendar, scheduling conferences, and making travel arrangements; OR Serving as the initial point of contact for visitors and callers, and providing or coordinating responses on non-technical matters, and maintaining control of incoming and outgoing correspondence.

Definition of Highly Qualified:
Highly qualified specialized experience for this position is exhibited by:
Expert in executing complex office workflows, managing multi-line communications, and maintaining executive calendars with strict adherence to agency regulations and Standard Operating Procedures (SOPs). Proficient in utilizing government-aligned software platforms, drafting official correspondence in compliance with government writing styles, and coordinating seamless logistical operations. Proven ability to support senior-level leaders and cross-functional teams.

Volunteer Experience: Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional, philanthropic, religious, spiritual, community, student, social). Volunteer work helps build critical competencies, knowledge, and skills, and can provide valuable training and experience that translates to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Education

Substitution of Education for Specialized Experience GS-8: You may substitute eighteen months of graduate level education which is directly related to the work of the position. Equivalent combinations of successfully completed education and experience may be used to meet total experience requirements.

FOREIGN EDUCATION: Education completed in foreign colleges or universities may be used to meet the requirements. You must show proof the education credentials have been deemed to be at least equivalent to that gained in a conventional U.S. education program. It is your responsibility to provide such evidence when applying or prior to appointment as outlined above.

  • Qualifying education from colleges and universities in foreign countries must be evaluated in terms of equivalency to that acquired in U.S. colleges and universities. Applicants educated in whole or in part in foreign countries must submit sufficient evidence, including transcripts, to an accredited private organization for an equivalency evaluation of course work and degree. You must provide a copy of the letter containing the results of the equivalency evaluation upon request. Failure to provide such documentation when requested will result in lost consideration.

Initial Probationary Period: You will be required to serve an initial probationary period of 1 year if one has not already been completed.

Background Investigation: All selectees will be subject to a personnel security investigation which must be favorably adjudicated for occupancy of a sensitive position and/or access to classified information. If you are selected for a critical/special sensitive position, you will be subject to a Single Scope Background Investigation (SSBI). For a critical sensitive position, you must be able to obtain and maintain security clearance eligibility at the Top Secret level. For a special sensitive position, you must be able to obtain and maintain security clearance eligibility at the Top Secret/Sensitive Compartmented Information (TS/SCI) level AND you will be subject to a random counterintelligence scope polygraph.

Drug Testing: If you are given access to classified information, you will be subject to random drug testing. If you are selected for a special sensitive position, you will be placed in a drug testing designated position. You must pass a drug test before your assignment to such a position and you will be subject to random drug testing subsequent to your assignment.

Additional Vacancies: This announcement may be used to fill additional positions within 120 days of the certificate issuance date.

Telework: This position may be eligible for situational telework. Telework approval will be determined by your immediate supervisor or manager following the agency's telework policy and guidance. If participating in the telework program, you will be required to sign a telework agreement detailing agency telework policy requirements, working conditions, and expectations for the position.

Performance Appraisal: If you are a current Federal employee, you must be rated fully successful or higher on your current performance rating to be eligible for promotion. You may be asked to provide a copy of your performance appraisal during the evaluation and selection process.
