Duties

Help

Assists the supervisor in scheduling, coordinating, and controlling all activities of the section and overseeing personnel; plans, organizes, and reviews employees’ work; and provides feedback to the supervisor for the purpose of evaluating subordinates. Oversees and coordinates the daily operations at the warehouse, staff, materials, equipment, and supplies to ensure efficient and expeditious workflow within rules, regulations, and established deadlines; serves as a liaison by working closely with the Senate community. Achieves high levels of customer satisfaction through excellence in receiving, identifying, and inspecting the quality of Senate materials staged and delivered to the warehouse. Maintains and performs inventories of all equipment and supplies; performs safety inspections of equipment and schedules maintenance and repair; assists the Office of Equipment branch in conducting physical inventories of office equipment in Senate offices; and identifies missing equipment. Provides support to Senate offices; communicates with Senate staff to receive and coordinate phone, email, and paper requests; and explains the Logistics and Operations services. Other duties as assigned.

Required Work Experience

  • Three to five years of progressively responsible experience with modern inventory control and asset management practices and procedures.

Required Special Skills/ Knowledge

  • Knowledge of the service area’s policies and procedures, including policies and regulations set by the Senate Rules Committee.
  • Knowledge of the Senate’s financial and inventory management systems.
  • Knowledge of the operation of general office equipment, including personal computers.
  • Ability to enter and maintain accurate computerized records.
  • Ability to understand and follow oral and written instructions.
  • Ability to operate a forklift, delivery truck, and/or other vehicles.
  • Ability to assign, inspect, and coordinate work in an efficient manner.
  • Ability to identify contractual obligations.
  • Ability to establish and maintain effective working relationships with supervisors, co‑workers, and the public.
  • Ability to communicate effectively.
  • Possession of a valid driver’s license may be required.

Desired Qualifications

  • Experience overseeing warehouse and distribution operations, including receiving, storage, staging, inventory control, and material movement.
  • Proficiency with inventory management or asset tracking systems and experience maintaining accurate inventory records and reporting.
  • Experience coordinating transportation and delivery operations, including scheduling drivers, routing deliveries, managing service requests, and occasionally assisting with deliveries, which may include driving a box truck or van.
  • Strong organizational and project coordination skills, with the ability to manage multiple priorities and operational demands in a fast-paced environment.
  • Knowledge of workplace safety practices and warehouse safety standards, including safe material handling and equipment use.
  • Ability to analyze operational workflows and implement improvements that enhance efficiency, service quality, and resource utilization.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively with internal stakeholders, vendors, support staff, management, and Senate offices.
  • Proficiency in Microsoft Office or similar productivity tools, including Excel for tracking and reporting operational data.

Working Conditions

  • Since this position requires onsite presence in support of the U.S. Senate when in session, this position requires the employee to be available and prepared to work during a lapse in appropriations, in inclement weather, on holidays, and during late‑night, overnight, and weekend sessions. In the context of government furloughs, this position is considered excepted.
  • This position directly supports essential services of the U.S. Senate. As such, it requires the employee to be available and prepared to work during a lapse in appropriations, in inclement weather, on holidays, weekends, and during late nights to ensure essential services to the Senate continue without interruption. In the context of government furloughs, this position is considered excepted.
  • The U.S. Senate network cannot be taken offline for maintenance during the workday or while the Senate is in session. As such, maintenance windows may occur only at night, on weekends, and occasionally on holidays. Employees who perform systems upgrades, maintenance, wiring, backups, or support alternate data centers will have schedules that include working nights, weekends, and holidays.
  • Work requires lifting or safely carrying items weighing 20–50 pounds for short durations.
  • Work requires frequent physical effort including walking, bending, crawling, and standing for long durations.
  • Work requires working in confined spaces, including bending and crawling.
  • Work requires operation of powered industrial trucks such as forklifts, pallet jacks, scissor lifts, and similar equipment.
  • Work may expose the employee to significant noise.

Education

High School Diploma/GED.

The Office of the Sergeant at Arms (SAA) is the largest in size of staff and budget in the Senate. It is responsible for all Senate computers and technology support services, recording and photographic services, printing and graphics services, and telecommunications services. The SAA also provides assistance to all Senate offices with their staffing, mailing, purchasing, and financial needs. The offices of the SAA that are responsible for providing these and other services include Capitol Facilities, the Operations Division, Customer Relations, Financial Operations, Human Resources, and Information Security. The SAA also shares responsibility for the U.S. Capitol Police, the Senate Page Program, the Senate Office of Training and Development, and the Capitol Telephone Exchange.
