Under the Morale, Welfare and Recreation (MWR) Director, Incumbent provides management support services and is responsible for developing, evaluating, advising, or improving information and documentation, directive management and management controls and/or obtaining a variety of management support services essential to the MWR operations to be integrated with the general management of the MWR Department. The MWR Department consists of Fitness and Recreation and Dining Services.

MAJOR DUTIES AND RESPONSIBILITIES

  • Responsible for developing, evaluating, researching, advising, improving and/or obtaining a variety of management support services essential to the effective and efficient accomplishment of MWR goals and objectives.
  • Provides administrative services and support to management and staff by performing analysis, research, and statistical duties. Prepares reports and other statistical and financial data pertaining to recreation and club operations. Compiles and types statistical records and reports. Coordinates all administrative output from department.
  • Explains reporting procedures and requirement to managers, supervisors and employees. Coordinates all department internal audits (payroll, property, etc.) and conducts/evaluates semi-annual facility inspections. Incumbent may also coordinate and serve as the primary assistant in the preparation and submittal of annual department wide APF and NAF budgets, and blanket purchase agreements.
  • Plans the development of an organizational records management program which includes the methods and processes by which record material is created, how filing systems are maintained, and the organization's requirement for retention or disposal of records.
  • Supervises, schedules, trains, disciplines and evaluate subordinate employee(s). Duties include interviewing new hire, certifying time cards and approving leave requests. Oversees incoming mail, guard mail, message traffic and attaches appropriate file to correspondence requiring action. Determines action due dates on correspondence/reports, routes to appropriate managers/supervisor/employee for action and ensures that responses are returned in a timely manner. Maintains accountability of all checks/payments received by mail.
  • Responsible for composing correspondence and material by drafting presentory releases and quasi-legal documents as a result of researching references and past policy.
  • Directs and engages in the preparation of smooth correspondence, reports and instructions from rough drafts and corrected copy. Rewrites correspondence as required.
  • Oversees the maintenance of files on departmental regulations, directives, etc., and posts changes as required. Provides information pertaining to operational activities to MWR Director.
  • Coordinates travel plans and schedules travel for the MWR Director and staff.
  • Coordinates Star Service training, the Center of Excellence program and other training needs of installation or program. Responsible for coordination of all special events for installation and/or serves as Department ABC Coordinator.
  • Performs other related duties as assigned.

  • Must have knowledge of use of computers and a variety of software programs and methods of record keeping.
  • Must possess strong organizational and administrative skills.
  • Must be a positive individual, able to obtain cooperation and assistance from others to meet the mission of MWR.
  • Must have the ability to communicate effectively with others, maintain reports, records and files and have the ability to follow verbal and written instructions.
