The incumbent serves as the Fellowship Officer for The Center for Advanced Study in the Visual Arts (The Center).  The Center is a research institute that fosters study of the production, use and cultural meaning of art, artifacts, architecture, urbanism, photography and film worldwide from prehistoric times to the present. This position reports to the Associate Dean for Fellowships and Fellows Programs.  

The incumbent is responsible for coordinating the fellowship program, working closely with senior scholars, academics, graduate students, visiting faculty and museum professionals throughout the application process.  The incumbent performs liaison work with university graduate departments, and preparation of fellowship award contracts, visa requests and license agreements. 

Duties for this position include:

• Works with the Dean and Associate Dean to develop fellowship descriptions, guidelines, procedures, application forms, newsletters, advertisements and website information. 
• Manages the online fellowship application portal with external contractor, overseeing development and maintenance of online fellowship applications and review process. 
• Acts as liaison to the National Gallery's Office of the Secretary and General Counsel to ensure contracts, license agreements, and visas are procured for all international fellows and guest scholars, according to current federal guidelines. 
• Prepares all fellowship nomination material for the National Gallery's Board of Trustees.  Serves as liaison between the Dean, Associate Dean, and selection committees of the Center's Board of Advisors, preparing logistical arrangements for application material and travel for interviews and meetings.
• Ensures that award payment schedules, current tax withholding requirements and allowances are reflected accurately under terms of contracts so that current stipend levels are awarded from each source of funding.

Qualifications

Specialized Experience Statement: Candidates must possess at least one year of specialized experience, equivalent in responsibility to the GS-09 level in the Federal service or private sector, experience working in museums, cultural institutions, research centers, fellowship programs and graduate level art history and architecture programs at universities; experience working with invitational travel and accounting procedures in on-line travel booking systems and financial management systems such as Concur and Oracle; and experience working with Microsoft Office Suite (Outlook, Word, Excel) as well as marketing programs and web content management systems. 

OR

a Ph.D. or equivalent doctoral degree

OR

3 full years of progressively higher-level graduate education leading to a Ph.D. or equivalent doctoral degree

OR

LL.M., if related

OR
