Duties

Help

Performs primarily substantive clerical work in support of technical administrative management and/or operational requirements within the Airman and Family Services Flight. Prepares a wide variety of recurring and non-recurring correspondence, reports and other documents (e.g. medication log; incident/accident log, etc.). Composes non-technical correspondence, such as instructions on office procedures, requests for information, and letters of acknowledgement or notification. Transmits and receives documents and messages electronically. Monitors the number of children enrolled in weekly programs and tends to request when appropriate. Participates in parent orientation meetings. Consolidates and finalizes information from systems and files for various reports in accordance with established reporting procedures. Prepares and maintains classroom rosters, special needs and allergy lists.

Maintains children's files in accordance with established procedures. Contacts parents to request missing informationĀ· notified director when difficulties are encountered. Contacts parents to report injuries that occur. Prepares and consolidates time and attendance records in accordance with established procedures. Compiles and submits USDA paperwork and reports. Verifies classroom staff accurately document and report number of meals served daily. Compiles numbers for end-of-month report to submit to USDA for reimbursement. Promptly reports any concerns regarding the USDA program to the program director. Assists the director with ensuring menus posted are current, accurate and changes are made following AF criteria. Ensures meals and snacks are documented IAW USDA Child and Adult Care Food Program requirements. Efficiently maintains USDA records according to USDA standards to enable quick retrieval of information. Compiles hourly and daily child attendance reports so that planning may be completed for maximum possible usage.

Monitors working conditions such as heating, ventilation lighting, safety, etc. Initiates AF Form 332 and maintains a work order file, communicating with Civil Engineering (CE) to assist in maintaining a safe environment for children and staff. Monitors from workstation through closed-circuit cameras all activities of children and staff while in classrooms and center and notes any discrepancies to the program director.
Monitors stafT/child ratio to ensure proper scheduling of staff. Receives telephone calls, visitors, inquires, and customers ensuring the needs of each are ascertained and addressed. Requires visitors to comply with sign-in/out procedures and escorts visitors as required. Ensures only authorized patrons use/access the facility. Computes childcare rates, prepares electronic billing, records payments, submits financial reports and notifies parents on delinquent accounts. otifies past due patron accounts. Takes appropriate action when receipts and funds collected do not balance. Informs supervisor of unresolved discrepancies or unfavorable trends. Orders supplies/equipment as instructed maintaining accurate records in accordance with established procedures. Is responsible for the receipt, control, logging, safekeeping, and necessary action on freedom of information materials. Performs clerical work for purchasing that requires the application of general purchasing procedures following established regulations and guidelines. Gathers data for orders and expense reports provided to supervisor for final approval. ls a Government Purchase Cardholder (GPC) of NAF and/or APFs. Establishes and maintains control/inventory logs. Refers requests for exception to policy to program director. Performs other related duties as assigned. Incumbent may be required to represent the program during the absence of senior management. This position grade equals that of a GS-06 in duties/pay. As per AFl34/144, a GS-05 or NAF equivalent may manage the facility for no more than two consecutive hoursĀ· or three consecutive hours as long as there is a CYP manager of a higher grade available on the installation to assist if necessary

Qualifying Experience:

Applicant must be 18 years of age and have experience in clerical or office work in which the applicant has demonstrated the ability to perform satisfactorily at the grade level of the position. Must demonstrate knowledge of office functions to screen telephone calls and visitors and perform other administrative work of the organization. Knowledge/proficiency ofoffice automation software (MS Windows, MS Office, including Power Point, Word, Access, and Excel), correspondence formats, grammar, spelling and physical filing systems and procedures and the subject matter content for the materials being processed is required. Must possess the ability to read and communicate effectively, both orally and in writing, using
tact and courtesv in English. Ability to plan, organize work and meet deadlines.

Education

Some federal jobs allow you to substitute your education for the required experience in order to qualify. This position does allow for education substitution.

FOREIGN EDUCATION: Education completed in foreign colleges or universities may be used to meet the requirements. You must show proof the education credentials have been deemed to be at least equivalent to that gained in conventional U.S. education program.
