Duties

Help

Receives, logs and routes incoming mail, files, scheduling routine functions and makes tentative appointments for supervisor, arranges staff meetings as required, assists with inventory, receives telephone calls and greets visitors, maintains necessary suspense controls. Uses word processing software to produce a variety of documents correspondence, reports, and other materials from rough draft, including statistical and financial data. Enters all invoices, receiving documents and blank purchase agreements into internet Based Purchasing System (IBPS). Reconciles club invoices and Transfers between Cost Centers (TBCC). Run reports and inputs into computer programs such as Food Trac Time Management, Club Works, and Aloha. Inputs sales and expenses into daily Profit & Loss statement accounts. Under the direction of the Manager prepares personnel actions relating to Club personnel, to include fills, separations, and other personnel changes. Ensures all information is accurate and timely. Transmits and receive documents and messages electronically using personal computer that is networked to other computers. Uses time management software (TMX) to perform duties as time keeper, responsible for entering time and attendance records. Serves as a back-up cashier. Initiates and completes AF Forms 1875 and AF Forms 1876. Collects cash receipts, cash register tapes, checks, credit card receipts, coupons and other supporting documentation. Prepares and issues change funds. Prepares and makes daily bank deposits. Ensures all monies are accounted for by balancing with the posting of funds placed in the activity's safe before actual bank deposit. Notifies management of any suspected irregularities. Cash checks and accept payment for members club card account, and maintains Club Works member files. Ensures proper accounting codes for all sales are included in the cashiers report. Accepts new member applications and prepares temporary club cards. Operates cash register to perform check-out duties to ring up the sale of meals and beverages, totaling sales, receives money and makes change, processes credit card sale. At the end of each tour of duty clears the cash register, and turns over cash and supporting documents as instructed.

In order to qualify, you must meet the experience requirements described below. You will receive credit for all qualifying experience, including volunteer experience. Qualifying Experience:
Have one year responsible experience in clerical or office work which has provided a thorough knowledge of office automation software, or other work of any kind in which the applicant has demonstrated the ability to perform satisfactorily at the grade level of the position. Experience must include cash handling. In addition, must possess and demonstrate possession of a high degree of proficiency and knowledge of word processing techniques and must be proficient in Microsoft Excel, Word, Power Point and Outlook. Knowledge of time management, Club Works and Aloha Systems are desired. Good customer service skills are required.

Education

Some federal jobs allow you to substitute your education for the required experience in order to qualify. This position does not allow for education substitution.

FOREIGN EDUCATION: Education completed in foreign colleges or universities may be used to meet the requirements. You must show proof the education credentials have been deemed to be at least equivalent to that gained in conventional U.S. education program. It is your responsibility to provide such evidence when applying.
