Help

The Advanced Medical Support Assistant takes initiative and anticipates the needs of the unit, serving as the primary resource for patient information flow and processing. The GS-6 AMSA Functions as the payroll timekeeper or back-up timekeeper: duties include entering work and leave hours correctly in the Veterans Affairs Time and Attendance System (VATAS}, reviewing the record for accuracy and working to resolve any pay issues. Ensures timecards are accurately posted and ready for supervisory approval on payroll Friday at 0800. Performs all aspects of timekeeping including yearly training and mandatory meetings.

Advanced Medical Support Assistants are considered chief sources of patient care and patient flow information and require advanced knowledge of related policies and procedures. The AMSA uses advanced knowledge of medical terminology to verify orders in the computerized patient record system (CPRS); reviews admission, discharge and transfer (A/D/T) orders for Accuracy; ensures laboratory tests, imaging and provider consults are entered correctly and completed in a timely manner. Enters appropriate labs, including MRSA laboratory swabs, when necessary to ensure the unit is meeting facility policy for infectious disease management. Interacts with customers, family members, visitors, and co-workers in a courteous, tactful, helpful manner, exercising mature judgment and diplomacy. Support team functions as requested by the program coordinator and other clinical staff.

Problem-solves office equipment malfunctions, obtaining IRM, Engineering, copier/fax technician, or Facilities Management support as indicated, and enters Electronic Work Orders (EWO) as needed; tracks progress of EWO until completed or follow up as needed. Responsible for performing a variety of technical support duties that facilitate the work of physicians, physician assistants, nurses, nursing assistants, and other members of the medical facility who provide direct patient care.

Reviews physicians' admission orders and enters correct data in CRTNISTA. Process various forms to assure communication with professional staff and services to the patient. Enters correct information in the Bed Management System (BMS). Keeps Morning Report updated with all gains and losses for each inpatient unit. Does pre-op forms for inpatients going to surgery and readies chart. Creates labels for labs ordered collected continuously throughout the day/distributes to the proper nurse/location.

Uses Advanced Knowledge of technical health care process to release delayed orders in a timely fashion, and ensures orders are not lost upon admit, transfer, or discharge. Ensures patient treating specialty is correct in Vista and/on any whiteboard. Ensures DNR/DNI, Fall Risk, Isolation Precautions, Name Alert, Latex Allergy, and/or Elopement Risk are communicated properly on patient armband/ward charts/whiteboards. In the event of patient death, coordinates contact with lntermountain Donor, CNO, operator, and pathology, and ensures death packet is filled out and signed.

Receives and coordinates incoming/outgoing telephone, intercom, and electronic messages; receives and directs patients and visitors; answers routine inquiries about the office, its functions, and standard operating procedures; and makes appropriate referral of questions concerning patients' conditions. The AMSA is cross-trained to cover all inpatient units. Serves as a mentor and/or preceptor to new MSAs. Orients new team members (MSAs, physicians, nurses, and other ancillary staff) to the unit's administrative work flow to assist in fostering an interdisciplinary working relationship between healthcare members.

Basic Requirements:

Grandfathering Provision: Grandfathering Provision. Employees in VHA in this occupation, under a permanent, appropriate, and legal placement on the effective date of the qualification standard, are considered to have met all qualification requirements for the grade and/or assignment held, including positive education and registration/certification where applicable. For employees who do not meet all the basic or assignment-specific requirements in this standard but met the qualifications applicable to the position at the time they were appointed, the following provisions apply:
  1. Employees who are appointed on a temporary basis prior to the effective date of the qualification standard may not have their temporary appointment extended or be reappointed on a temporary or permanent basis until they fully meet the basic requirements of the standard.
  2. Employees retained in this occupation under this provision who subsequently leave the occupation lose protected status and must meet the full VA qualification standard requirements in effect at the time of re-entry to the occupation.

  • Foreign Education. To be creditable, education completed outside the U.S. must be deemed at least equivalent to that gained in a conventional U.S. program by a private organization specializing in the interpretation of foreign educational credentials.

Grade Determinations:

Medical Support Assistant (Advanced), GS-06:

(1) Experience.
One year of experience equivalent to the next lower grade level GS-5 Medical Support Assistant grade level. Duties at this level include, but are not limited to: performing a full range of duties related to the delivery of healthcare services in an inpatient or outpatient setting; answering phones; greeting patients; relaying messages to appropriate staff inside or outside of the unit; scheduling appointments; including interpreting and verifying provider orders to schedule within scheduling guidelines.

(2) Knowledge, Skills, and Abilities (KSAs). In addition to the experience above, the candidate must demonstrate the following KSAs:

(a)
Advanced knowledge of the technical health care process (including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals) as it relates to access to care.

(b) Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc.

(c) Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.

(d) Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g., medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.

(e) Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations.

(f) Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns.

The full performance level of this vacancy is GS 06.

Physical Requirements: The work performed is predominately clerical in nature and requires no special physical standards. The work is usually performed in an office setting, working with others and/or alone. As typical in an office setting, there is the possibility for multiple distractions from normal operating functions and the incumbent is expected to be able to physically perform the duties of the position, aides permitted (which may include walking, sitting, standing, reaching, and bending.) The work may also include the need for light lifting and carrying (under 15 lbs.) of work materials (i.e.: books, binders, papers, etc.).
