Help

The Supervisory Medical Administration specialist position is involved in an extremely complex blend of computing technology, medical information, communication skills, and leadership qualities in a rapidly changing environment. The incumbent of this position must possess extensive computer knowledge in creating and capturing data. He/She will be responsible for coordinating and supporting mechanisms for successful data capture. The incumbent will be responsible to ensure accurate, timely, and consistent data is entered into the VHA computer systems. He/she will establish in-depth training to ensure that Patient Benefits staff and other identified Medical Center staff are educated and accountable for data management.

Duties for the position include but not limited to:

  • Coordinates the collection of data concerning Patient Benefits administrative activities, makes computations as required and reports monthly, quarterly or annually to management. He/she receives requests from other sources and determines the best method of obtaining, computing, and reporting.
  • Assure that clerks follow all VA directives, policies, and procedures and that they completes the required mandatory training for Patient Benefits clerks.
  • Responsible for assuring that clerks update all demographic and insurance information for Veterans by utilizing the Pre-registration menu and the insurance card scanners.
  • Responsible for administering the Beneficiary Travel Program and staff supervision. The program includes determination of legal eligibility, processing invoices for payment, and responding to Veterans appeals. The program includes the management of several control point funds that average $5,000,000 annually.
  • Investigates patient complaints concerning eligibility issues and prepares written response.
  • Makes daily and frequent personal and telephone contact with variety of individuals including physicians, nurses, technical support staff, Veterans, and families of Veterans, and Veteran Service Officers.
  • Conducts special studies for identifying opportunities to improve customer service and process quality.
  • Set performance standards, evaluations, initiating action on disciplinary matters, awards, labor relations, approval of leave and work schedules, incentive awards programs, motivation and morale, administrative disciplinary actions, recruitment and placement, position management and classification, preparing position descriptions, overseeing semiannual and annual evaluations, counseling employees whose performance is marginal or unsatisfactory and implementing continuing education activities.
  • Evaluates and writes performance appraisals and provides feedback to employee concerning their performance.
  • Recommends promotions, reassignments, or other status changes of assigned personnel, such as retention or release of probationary employees, step increases, and recognizes outstanding performance by recommending meritorious awards.
  • Reviews work in progress or upon completion and spot checks work as deemed necessary to assess the quality and quantity of work produced by each employee.
  • Informs employees about the policies, procedures, and practices of management as they relate to the work of the work areas. Incumbent has full and final technical authority over the work of subordinates.
  • Informs employees of all aspects of personnel programs of the VA Sierra Nevada Health Care System, either answering their questions on such matters or obtaining information from specialists when answers that are more technical are required.
  • Informs higher level supervisors of anticipated vacancies, increased workload or, other circumstances to obtain replacements, temporary help, or additional staff.
  • Provides direct on-the-job training for employees, identifies employee training opportunities, and develops employee backup skills via cross training.
  • Other duties as assigned.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 06/15/2026.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-9 position you must have served 52 weeks at the GS-7. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience and/or education as described below:

Qualification at the GS-9 level:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-7 in the normal line of progression for the occupation in the organization.
