Help

During irregular tours of duty, the Medical Administrative Assistant is designated as the Administrative Officer of the Day (AOD) and functions as the highest administrative authority on duty. The incumbent must use authority in making sound judgement decisions and uses discretion in applying these decisions to solve problems concerning the operation of the Ralph H Johnson VA. The AOD incumbent plays a major role as part of the management team. They work closely with the professional staff to provide administrative oversight necessary to accomplish the mission of this health care system. This includes all inpatients and outpatients seeking and/or receiving VA medical care.

  • Interviews and counsels' patients regarding problems and complaints as they pertain to the Health Administration Service (Business Office).
  • Business and Revenue Cycle functions and processes, HIM, Specialty, Primary Care, VHA beneficiary, VBA, DoD liaison and fee programs.
  • Advise veterans and their families or representatives of entitlement to VA medical benefits and explain where claims can be filed through VA, state or local organizations.
  • Provide assistance in person and by telephone.
  • Responsible for calling in any clinical personnel from off-duty for emergencies requiring their services.
  • Authorizes and requests travel for eligible beneficiaries.
  • Provide technical advice to staff on reimbursement of private ambulance and contract-services.
  • Responsible for the managerial aspects of administrative processing for admission, treatment disposition of patients, returning patients from pass, scheduling appointments, and discharges.
  • Responsible for explaining entitlements to applicants and ensures that treatment is provided according to local policy.
  • Acts as a public relations person representing the medical center by answering and coordinating all contacts received by the medical center during irregular hours.
  • Determines the entitlement for burial benefits, conducts personal interviews with relatives of deceased patients advises them of their entitlement to death benefits and assists them in making funeral arrangements during irregular tours.
  • Performs other related duties as assigned.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 06/18/2026.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.

For a GS-7 position you must have served 52 weeks at the GS-05 . The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade .You may qualify based on your experience and/or education as described below: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Extensive and complex procedural knowledge of VA medical and administrative directives concerning policies and legal aspects, HIPPA, public laws governing VA, and commitment laws. Ability to complete assigned projects, studies, reports accurately in timely manner. Extensive knowledge and use of VISTA/GUI data files and file manager utilities to retrieve data and reports. Knowledge of health information management and registration systems, working knowledge/experience with computer programs, interpreting and analyzing electronic medical records; and ability to prioritize work assignments.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: Position is primarily sedentary and performed from a desk in the Emergency Department area. However, the AOD is continually required to stand, walk and move about the area to make contact and consult with staff. There may be some climbing of stairs and occasionally lifting, carrying or pushing of light items and equipment.
