Duties

Help

Coordinates and schedules Photographic Services staff, resources, and assignments for both scheduled and ad hoc requests. Provides customer service and support to Senate offices and various stakeholders to coordinate and support efficient workflow and delivery of timebound requests. Performs administrative duties such as creating reports, updating website content, and performing user acceptance testing, which inform and support office decisions. Provides support to stakeholders in navigating photographic services tools and systems by gathering and interpreting customer feedback and offering solutions based on established processes. Improves end user experience by escalating issues, when needed. Other duties as assigned.

Required Work Experience

  • Three (3) to five (5) years of progressively responsible experience in customer service.

Required Special Skills/ Knowledge

  • Ability to multitask and prioritize assignments, maintaining deadlines in fast-paced, customer-centric environment.
  • Ability to convey information effectively while exercising sound judgement and maintaining discretion when interacting with Senate staff, and the general public, when answering questions or fulfilling service requests.
  • Ability to learn Photographic Services standards and procedures, and ensure they are applied to all scheduling tools and service systems.

Desired Qualifications 

  • Experience supporting scheduling, service coordination, or workflow tracking in a customer-facing environment.
  • Experience serving as a primary point of contact for customers, clients, or stakeholders with competing priorities and deadlines.
  • Demonstrated success in maintaining records, reports, trackers, or other tools that support operational efficiency.
  • Experience supporting or testing service tools, websites, or systems used for customer or workflow management.
  • Experience working in a fast-paced, high-visibility, deadline-driven environment.
  • Familiarity with photography, creative services, or visual communications support is a plus.
  • Demonstrated ability to succeed in complex organizational environments; familiarity with Senate operations and workflows, or the interest and ability to quickly learn them, strongly preferred.

Working Conditions

  • Since this position requires onsite presence in support of the U.S. Senate when in session, this position requires the employee to be available and prepared to work during a lapse, in inclement weather, on holidays, and during late night, overnight, and weekend sessions. In the context of government furloughs, this position is considered excepted.
  • This position directly supports essential services of the U.S. Senate. As such, this position requires the employee be available and prepared to work during a lapse, in inclement weather, on holidays, weekends, and during late nights to ensure essential services to the Senate continue without interruption. In the context of government furloughs, this position is considered excepted.
  • Sedentary (carrying items less than 25 pounds).
  • The person in this position needs to move about inside the office to access filing cabinets, office machinery, etc.
  • The person in this position needs to constantly operate a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
  • The person in this position must be able to exchange and communicate accurate information verbally and be able to hear. 

Education

High School Diploma/ GED.

Senate

The Office of the Sergeant at Arms (SAA) is the largest in size of staff and budget in the Senate. It is responsible for all Senate computers and technology support services, recording and photographic services, printing and graphics services, and telecommunications services. The SAA also provides assistance to all Senate offices with their staffing, mailing, purchasing, and financial needs. The offices of the SAA that are responsible for providing these and other services include Capitol Facilities, the Operations Division, Customer Relations, Financial Operations, Human Resources, and Information Security. The SAA also shares responsibility for the U.S. Capitol Police, the Senate Page Program, the Senate Office of Training and Development, and the Capitol Telephone Exchange. The Sergeant at Arms is an excepted service agency. Employment with the Sergeant at Arms does not confer the "Competitive Status" that generally results from selection and service in Competitive Service agencies.
