Major duties include but not limited to:

  • Performs administrative work, which includes conducting research, preparing and submitting reports, answering phones, receiving visitors, arranging conference calls and meetings, and overall management of an office schedule or day-to-day plan.
  • Develops routine plans or schedules using standard references and existing information.
  • Ensures time keeping is completed on a daily basis and all time keeping is submitted per schedule and accurate upon submission.
  • Obtains data from section supervisors and submits employees' requests for overtime and prepares staffing and overtime reports.
  • Develops and maintains reports and spreadsheets.
  • Reviews, obtains, organizes, files and retrieves reports for briefing and presentation purposes, including reports, schedules, administrative and professional publications, correspondence, 6-Part personnel folders and other files.
  • Ability to use Outlook Mail and/or MS Teams features to respond to internal and external customer inquiries and calendar to set up, manage, and organize meetings.
  • Assists with the personnel management programs performing a range administrative management functions.
  • Serves as the focal point for the collection of all annual, weekly, and required report.
  • Develops, reviews, and interprets all station memorandum, bulletins and pertinent VA regulations to ensure compliance to set guidelines and advising all involved personnel of same.
  • Serves as a focal point for administrative issues and handles communications for the office with various people at all different levels of the organization.
  • Performs the following types of duties: edits letters, composes communication and reports, reviews communications/correspondence for accuracy, completeness to include proper format, grammar, spelling, punctuation, attachments, dates, signature(s), etc.
  • Schedules and maintains the appointment calendar for various staff members, coordinate meeting and/or schedules conferences bases on preferences and current commitment.
  • Keeps Chief and supervisors informed of all schedules meeting.
  • Reminds Chief and supervisors of subject matters prior to the commencement of meeting and makes arrangements as necessary.
  • Coordinates travel for logistics personnel, including coordinate/schedule travel, makes travel arrangements, prepares travel estimates, lodging arrangements, and maintain records of travel cost.
  • Acts as a liaison and/or handles the communication with persons and/or groups within and outside of the Bay Pines Healthcare System and subordinate sites.
  • Monitors office supplies stock and takes appropriate actions to ensure no stock outages.
  • Places all work orders for the service and maintains work order logs, records and follows up on results.
  • Monitors and controls business documents, correspondence, and records, including the coordination of minutes, action items, and documents need by the service.
  • Maintains and monitors control records on all incoming correspondence and action documents for follow-up to assure timely action or reply, and for filing to enable easy retrieval of document and correspondence received.
  • Response to inquiries at own initiative as well as at the request of the manager.
  • Ensures all outgoing correspondence follows all rules and formats as established by management.
  • Maintains a file of correspondence and calendar of events of which the service Chief should be aware.
  • Processes information regarding disciplinary actions, union issues and other confidential materials.
  • Addresses customers via phone call, in person, and/or electronic communication.
  • Shows courtesy in all interactions with clinical staff, vendors, patients, visitors, and co-workers.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 06/05/2026.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:

  • Conducts research, preparing and submitting reports and reviewing for accuracy and completeness
  • Receiving visitors, arranging conference calls and meetings, and overall management of an office schedule and calendars

Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required. Typically, the employee may sit comfortably to do the work. Some light physical effort may be required in carrying small objects. There may be some walking, standing and bending.

Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
