The major duties include, but are not limited too:

Data Collection & Tracking Support

  • Responsible for collecting, compiling and/or tracking statistical information and preparing complex data/reports related to the administrative, clinical, and technical aspects of the programs assigned.
  • Tracks achievement on performance measures, goals, and objectives
  • Receives and processes documents and reports in accordance with established procedures
  • Uses software applications to draw information from a wide variety of sources in order to prepare reports
  • Retrieves a variety of computerized data
  • Establishes protocols for incoming data
  • Organizes and maintains equipment data
  • Assists in the planning, review, reporting, and presentation of data/statistical results of program studies
  • Maintains, reconciles, and verifies the quality assurance of reports for the service and performs duties related to the maintaining, tracking and trending data
Property Management/Quality/Accreditation Support
  • Manages the inventory system for the addition of new equipment, tracking repairs and replacements for equipment in the service
  • Coordinates the administrative property of the service by performing property management duties: such as the maintenance of records (e.g. , equipment inventory list), conduct of periodic inventories, and/or disposal of excess property
  • Answers questions and recommends adjustments concerning policies and procedures related to property management services
  • Obtains and performs general property management support services, such as maintenance and disposal of equipment
Mail, Correspondence, and Reports
  • Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication
  • Performs the following types of duties: edit letters, composes letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, prepares minutes, and develops standard of form letters and replies to inquiries
  • Provides general clerical mail and correspondence services such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper attachments, for consolidating/coordinating submittals of information
  • Researches files and assembles background information on the subject of incoming material prior to referral
Information Technology
  • Problem solver with the special ability to integrate overall knowledge of the service systems with VISTA applications and to be innovative in the process
  • Collects data relevant to Medical Service activities and workload for report preparation and submissions
  • Advises staff in all aspects of software used by the entire service, including MS Excel, Access, Word, and Power Point
  • Provides continued assistance to all staff in the use of VISTA and all computer applications

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 05/27/2026.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Performs a wide range of administrative and technical duties, subject matter for Eligibility & Enrollment (E&E), and working knowledge of other computer software programs necessary to track and monitor Veteran information; enter data into appropriate databases; compile and review data for monthly reports, spreadsheets, and local documents. uses Outlook, Word, Excel, PowerPoint, and VA programs such as VISTA, CPRS, VSSC, VATAS, SharePoint and TMS.

Preferred Experience: Ability to create and manage spreadsheets. Timekeeping experience (posting and resolving timecard issues). Management of complex provider schedules, submitting supply chain orders and equipment requests. Excellent customer service and interpersonal skills. The ability to communicate effectively and professionally orally and using written communication.


Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: The work is mostly sedentary but requires some walking, standing, bending. lifting and carrying light items such as paper, books, and charts.

Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
