Serves as the first point of contact in the Marine Corps Community Services (MCCS) Human Resources Office for customers including employees, former employees, and others. The Human Resources Assistant plays a key role in maintaining accurate employee records, supporting onboarding and offboarding, ensuring compliance, and providing administrative support to the department. This position requires a strong sense of discretion and confidentiality in handling sensitive information.
Performs a variety of administrative and clerical tasks to support the Human Resources office and staff, which may include one of more of the following function areas: recruiting, processing personnel actions, benefits, worker¿s compensation, new employee orientation/onboarding, processing backgrounds checks, initiating pre-employment screening processes for employment, etc. Handles diverse and confidential information requiring extreme accuracy. May prepare various personnel reports and statistics related to assigned functions. Uses personal computer and other various software programs to create, copy, edit, store, retrieve, and print a variety of documents; produce correspondence, memorandums, directives, forms, reports, create or maintain spreadsheets or databases, input data to update and maintain records, etc. Assists in processing a variety of routine human resources tasks such as:
Provides front desk customer service by assisting patrons with check-outs, appointments, and general inquiries; coordinates with appropriate HR staff to ensure timely and accurate assistance.
Assist in the onboarding process by conducting reference checks, preparing new hire paperwork, creating official personnel folders (OPF¿s), schedule employees to attend new hire orientation, and monitor completion required onboarding documents.
Schedule pre-employment drug tests and physicals for Child Youth Program employees and monitor status to ensure completion of required testing.
Complete E-Verify for new hires and maintain hard copy files per policy.
Provide general clerical assistance to the HR team by proofreading, drafting and routing routine correspondence such as employment probationary letters and delegation of authority letters, maintaining OPF¿s and other HR filing systems, shredding / purging hard copy and electronic documents, responding to verification of employment requests, and processing mail.
Compile information for audits, reports, and other routine tasks.
May be responsible for the processing of fingerprints for MCCS new hires within the Secure Web Fingerprint Transmission (SWFT) program. May access sensitive and confidential information upon the collection of background documentation.
Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Takes action to solve problems quickly. Alerts the higher-level supervisor, or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment.
One year experience in an administrative role within a professional human resource, business operations, or equivalent setting. High School diploma or GED required. Basic understanding of privacy compliance within the human resource field. Knowledge of office management and recordkeeping systems and procedures. Exceptional interpersonal and verbal and written communication skills, and a high degree of professionalism and ability to maintain confidential information required. Must have the ability to work effectively in a team environment as well as independently. Must have strong attention to detail and organizational skills to manage multiple projects simultaneously. Must have strong knowledge of grammar and spelling and appreciation for their direct impact in business communication. Proficiency with Microsoft Office Word, Excel, and Teams. This is a white-collar position where occasional lifting to 20 lbs. may be required.
Security Clearance Requirement: This position is designated Non-Critical Sensitive. The incumbent must be able to obtain and maintain a Secret eligibility upon final adjudication of the Tier 3. Incumbent will be required to maintain Secret eligibility while in this position. An SF86 review will be conducted every 5 years or as required by higher authority. Subject will be entered into the Continuous Evaluation program which will allow them to be monitored for derogatory information, i.e., financial, police related, alcohol, drugs, etc. See Security Executive Agent Directive 4 (SEAD 4), National Security Adjudicative Guidelines.
