Duties

Help
  • Serves as the primary administrative point of contact in the assigned office. Reviews invoices and prepares reports, gathers information to perform analysis of future needs.
  • Manages the schedule for the Assistant Secretary and as needed, the Chief of Staff.
  • Serves as liaison between the Assistant Secretary and senior-level officials throughout the State Department, as well as client organizations.
  • Manages the Assistant Secretary’s travel and transportation, including producing travel orders and post-travel reimbursement vouchers for domestic and overseas travel.
  • Provides advice and guidance regarding program deficiencies or areas that do not comply with regulatory requirements.

Qualifications

Applicants must meet all the required qualification requirements described below by the closing date of this announcement. I

NOTE: Applicants must meet time-in-grade and time after competitive appointment requirements, by the closing date of this announcement.

Time-In-Grade Requirements: Federal applicants must have served 52 weeks at the next lower grade to satisfy time-in-grade restrictions, per 5CFR 300, Subpart F.

Applicants must have 1 year of specialized experience equivalent to the GS-11 level in the Federal service which provided the applicant with the particular knowledge, skills and abilities to perform the duties of the position.

Qualifying specialized experience must demonstrate the following:

  • Served as primary administrative lead for a high-level front office, coordinating executive operations for high officials.
  • Managed complex scheduling, resolved conflicts, tracked taskers and correspondence, and ensured timely execution of mission-critical priorities.
  • Monitored programs and analyzing problem areas.
  • Managed travel and logistics for domestic and international travel orders, vouchers, and regulatory compliance.
  • Coordinated with budget and travel offices to ensure alignment with federal travel policies.

There is no substitute of education for specialized experience for the GS-12 position.

You will be evaluated for this job based on how well you meet the qualifications above.

The evaluation process consists of the Monster Competency Based Assessments for which applicants will be assigned a score between 70 and 100. A resume review will be conducted for minimum qualification requirements, as described in the “Qualifications” section of this announcement, of applicants found to be among the top qualified candidates based on assessment scores.  Resumes longer than two pages will be deemed ineligible and will not be considered further.  

You will be assessed on the following job-related competencies (knowledge, skills, abilities, and other characteristics):

Your score from the external assessment (Non-supervisory ) will remain on file for 180 days, allowing you to apply for multiple DOS-announced positions without needing to retake the assessments.

  • Ability to provide office management support.
  • Knowledge and expertise in administrative, budgetary and managerial activities.
  • Ability to plan meetings.
  • Ability to manage the budget of a meeting/event.
