Help

The primary duties of this position are to maintain accessible records and provide efficient service for direct and indirect patient care by managing the receipt, scanning, and indexing of health documents in a timely and accurate manner.

Major duties and responsibilities include:

  • Maintains accessible records and provides efficient service for direct and indirect patient care.
  • Manages the receipt, scanning, and indexing of health documents in a timely and accurate manner.
  • Analyzes validity and process efficiently all documents received.
  • Responds properly when documents do not meet established guidelines for inclusion in the electronic medical record.
  • Performs duties related to the receipt, intake, scanning, indexing, quality control, destruction, and transfer of health and administrative information.
  • Scans various health information documents into VistA Imaging.
  • Assures that scanned documents are associated to the correct patient and note in the Computerized Patient Record System (CPRS).
  • Follow scanning procedures established by the Medical Records Committee and the Chief, HIM.
  • Confirms record integrity and review the image quality in the VistA Imaging display.
  • Ensures regular quality checks are carried out according to prescribed timeframes and criteria.
  • Notifies the Supervisor when images are scanned into the wrong patient's record, are indexed incorrectly, or are corrupted.
  • Reviews documents for appropriate scanning criteria and ensure that all necessary health/administrative information meeting the criteria is integrated into CPRS.

Work Schedule: Friday 8:00 AM - 4:30 PM; subject to change based on the needs of the facility.
Telework: This position may be authorized for telework. Telework eligibility will be discussed during the interview process.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 05/06/2026.

You may qualify based on your experience or education as described below.

General Experience: You must one (1) full year of general experience. Examples of general experience would typically include, but are not limited to: Progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled. This experience must be supported by your resume to be creditable.

Education: Successfully completed 2 years above high school in any field for which high school graduation is the prerequisite. This education must have been obtained in an accredited business or technical school, junior collage, collage or university for which high school graduation or the equivalent is normal prerequisite. NOTE: Transcripts must be submitted with your application materials. Education cannot be credited without documentation. OR,

Combination: I possess an equivalent combination of successfully completed post-high school education and specialized experience as described above, which meet the total experience requirements for this grade level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: The work is mostly sedentary; however until records have been automated, work may involve considerable walking, standing and bending in the search for health records. There is lifting and carrying of bulky records and boxes, usually not to exceed 50 pounds. Pushing carts is routine for retiring records.

Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
