The Supervisory Dental Assistant is an integral member of the dental team and facilitates team processes by working collaboratively with team members to ensure that tasks are completed, that good working relationships among team members and with management are maintained, and that team priorities, goals, needs, and achievements are coordinated with management. The Supervisory Dental Assistant assists the dental team in many aspects of direct patient care and performs clinical, dental laboratory, administrative/clerical, and program management functions independently of direct supervision.

Other duties and responsibilities include, but are not limited to:

Supervisory Duties: Comprise at least 25% of the supervisory dental assistant's time.

  • Supervises a team of employees performing at the GS-7 level or below; providing guidance and technical direction necessary for accomplishing the work of the team, and assures compliance with VA policies.
  • Plan and assigns work and makes adjustment in accordance with established priorities; setting and adjusting short-term priorities.
  • Evaluates the performance, progress, and training needs of subordinate employees.
  • Prepares performance appraisals and performance improvement plans when problems are identified.
  • Issues minor disciplinary actions, such as warning and reprimands. Recommends other action in more serious cases.
  • Interviews candidates for dental assistant positions, recommends appointment, promotion, or reassignment. Recommends awards or recognitions of performance.
  • Oversees the Systems Redesign Program to identify ways to improve production or improve quality
  • Monitors work in progress to ensure that the staff dental assistant's clinical performance meets the dentist's instructions. Confers with dental chief or supervisory dentist if unable to resolve major issues or problems.
  • Identifies developmental and training needs of employees for specific tasks and job techniques. Trains employees (dentist, dental residents, and dental assistants) in computerized dental patient record systems including generating patient consults, storing and viewing digital images, entry of diagnostic data and preparation of treatment planning
  • Arranges for training of team members, students and volunteers in the accomplishment of tasks or projects. Maintains current knowledge and answers questions from team members on procedures, policies, and directives
  • Makes written instructions, reference materials, and relevant background material available. Obtains needed information on decisions from the supervisor on major issues and problems that arise.
  • Ensures that the Material Safety Data Sheets (MSDS) are organized and maintained.
  • Other clinical and administrative responsibilities as assigned by the Service Chief

(Note: Work schedules are determined and approved by the supervisor. The incumbent may be required to work various shifts on a permanent or temporary basis based on facility/patient care needs).

Child Care Subsidy: After 60 days of employment, full time employees with a total family income below $144,000 may be eligible for a childcare subsidy up to 25% of total eligible childcare costs for eligible children up to the monthly maximum of $416.66.

Qualifications

Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met.

Basic Requirements: All applicants must meet the following basic qualifications:

1) United States Citizenship: Must be a US Citizen (Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy).

2) Education and Experience:

  • Experience. Six months experience that demonstrates the applicant's ability to perform the work, or provides familiarity with the work.
OR,
  • Education. Successful completion of a 1-year dental assistant program accredited by the American Dental Association's Commission on Dental Accreditation (CODA).
OR,
  • Experience/Education Combination. Equivalent combinations of experience and education are qualifying.
3) Dental Radiographer Certification:
  • Public Law 97-35 requires that persons who administer radiologic procedures meet the credentialing standards in 42 CFR Part 75. Essentially, you must have successfully completed an educational program that meets or exceeds the standards described in that regulation, and is accredited by an organization recognized by the Department of Education, and be certified as radiographers in your field.
    • Provisions for Certification of Radiologic Competence:
      • Successful completion of the Dental Radiation Health and Safety Examination administered by the Dental Assisting National Board, Inc.; OR,
      • Successful completion of the Principles and Practice of Dental Radiology and Radiographic Safety courses and examinations developed by the Assistant Under Secretary for Health for Dentistry; OR,
      • Successful completion of a radiation health and safety program or examination approved by a state board of dentistry or the Department of Defense (DoD).
4) Dental Assisting National Board (DANB) Certification:
  • The American Dental Association (ADA) recognizes DANB as the national certification for Dental Assistants. DANB certification it is required for all positions above the full performance level. This position is above the full performance level.
5) English Language Proficiency: Dental assistants must be proficient in spoken and written English in accordance with chapter 2, section D, paragraph 5a, this part.

Grandfathering Provision. Persons may qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).

Grade Determinations:
  • Experience. At least 1 year of experience at the GS-07 grade level that demonstrates the core competencies described at that level. At the GS-07 grade level, employees work with the supervisor or Chief Dental Service to monitor and make work assignments, provide input on performance, resolve daily workplace issues, and maintain efficient flow of patient care; may approve brief periods of leave, provide training to staff dental assistants, students and/or trainees; may recommend special advancements and promotions, disciplinary actions, etc. Assignments at this level include but are not limited to: provides instruction to other assistants in achieving diagnostic quality radiographs, provides instruction in maintenance of all dental service equipment, provides primary support to the chief for the daily delivery of department programs, reporting, staffing and scheduling, coordinates the patients' care plans to reduce redundancies and delay in patient treatment. Lead Dental Assistants generally would be found in Complexity Level 1 (High Complexity) or Complexity Level 2 (Medium Complexity) facilities, or in facilities of lesser complexity levels where large dental services are found. Individuals may perform ancillary assignments, including program management duties on an occasional basis.
The Knowledge, Skills, and Abilities (KSAs) at the GS-07 grade level are:
  • Advanced knowledge of dental assisting across multiple areas of practice, and demonstrated ability to provide guidance to staff dental assistants.
  • Skill in coordinating clinical work flow and assignments.
  • Ability to assist in dental program development, outcome management, and strategic planning.
  • Skill in acting as liaison between staff dental assistants and the supervisor.
  • Ability to provide professional oversight and consultation for staff dental assistants.

In addition, the candidate must demonstrate the following GS-08 technical KSAs and demonstrate the potential to acquire the assignment specific KSAs designated by an asterisk (*):
  • Demonstrated Knowledge, Skills, and Abilities:
    • Advanced knowledge of dental assisting across multiple areas of practice, and the demonstrated ability to provide guidance to staff dental assistants.
    • Skill in coordinating clinical work flow and assignments.
    • Ability to assist the Chief in Dental Clinic operations related to policy development, equipment requests and workload analysis.
    • Ability to establish and maintain effective and cooperative work relationships.
    • Ability to analyze clinically appropriate data effectively to optimize quality, performance, and productivity within section.
    • *Ability to perform supervisory functions such as assessing competency, providing performance appraisals and managing training.

The full performance level of this vacancy is GS-08.

Physical Requirements: The physical demands of the work include moderate lifting (15-44 lbs), heavy carrying (45 lbs and over), ability for rapid mental and muscular coordination simultaneously, near vision correctable at 13" to 16" to Jaeger 1 to 4, good distant vision in one eye, ability to hear whisper voice. There is moderate walking (3-4 hrs.) and some extended periods of standing (3-4 hrs.).

Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
