Help

The employee coordinates and implements office functions such as records control, projects, budget and fiscal operations, and in particular is responsible for the documentation of the travel and tour operations. Coordinates with tour guides and assigns advances for daily and extended tours. Collects receipts at end of tours, checks for accuracy and submits paperwork with the Daily Accounting Record (DAR). The employee reviews invoices for contracted travel services to ensure accuracy, timeliness and completed documentation. Uses software to track patron receipts, refunds, tour closures, vendor assignments and tour profit/loss statements.

Coordinates collection and preparation of financial and operations reports such as patron counts, statistical data, budget information etc. which are maintained in various databases for ITT Director's use and action. Locates and compiles information and formats reports, graphs, records and other sources of information. Orders supplies, equipment and merchandise for the division.

Serves as sub custodian for office change funds with responsibility for monthly cash counts. Serves as custodian for prepaid tickets which arc tracked in SAP.

Assists with special events, such as fleet visits and ITT promotional activities.

The employee is the safety and fire rescue representative for the office and is responsible for the monthly OSHA reporting requirements.

The employee operates a personal computer to access e-mail, electronic calendars and other basic office support software. The employee may submit requests for personnel actions and may certify payroll documentation in the absence of the ITT Director.

The employee maintains a favorable working relationship with all employees to promote a cooperative and harmonious working environment, positive employee morale, productivity and continued improvement.

  • Male candidates born after December 31, 1959, and at least 18 years of age, are required to certify that they have registered with the Selective Service System.
  • Incumbents must satisfactorily complete all background checks, including a fingerprint check and National Agency Check with Inquiries (NACI)

Qualifications

Knowledge of ITT functions and internal operating procedures in order to preform a full range of administrative and technical duties. Provides general non-technical information to customers.

Knowledge of various software programs (SAP, Excel, Outlook, etc.) in order to prepare and access data for various office needs.

Knowledge of records management procedures in order to initiate requests for merchandise, supplies and equipment.

Ability to prepare and keep accurate records and documentation. Knowledge of cash handling and cash custody procedures.

There are no education requirements for this position.

Note: The NATO Status of Forces Agreement (SOFA) between Italy and the United States prohibits the hiring of any person who holds Italian citizenship and is considered a Dual National by the Italian Government into any U.S. position. Those U.S. citizens who are considered "ordinarily resident" in Italy are also ineligible for employment by U.S. commands and activities in Italy. Contractors and their family members are also ineligible as they do not have civilian component status.
