Summary

The Miami VA Healthcare System's Surgical Care is seeking an experienced Administrative Specialist Implant Coordinator. The position will have the responsibility for analyzing, managing, coordinating, controlling, acquiring, monitoring, and accounting for a variety of biological and non-biological implants. The Implant Coordinator is a vital position mandated nationally by national regulatory agencies to comply with the FDA requirements for management of biological and non-biological Implants.

Help

The duties and responsibilities include but are not limited to the following:

  • Ensures that appropriate implantable devices are requested in a timely fashion. Obtain s best pricing meeting all VA/VHA socioeconomic goals, observing all mandatory contracts.
  • Monitors that all necessary information is included on the consults to place the order with accuracy and that the consult is entered on the day of surgery.
  • Works as a team with the attending physicians, residents, operating room staff, Prosthetics, and SPS staff, to obtain the required item, if not in stock, in an expeditious and cost-effective manner.
  • Responsible for ensuring that existing consignments are used or returned to vendors prior to expiration date of the implant.
  • Ensures appropriate documentation is entered, in addition to the items that are implanted, when implants are opened, dropped, wrong size, or otherwise not implanted by alerting Prosthetic Service via electronic consult.
  • Inventory and check for outdated of stocked items on the floors to ensure sterility of prepackaged sterile implants and ensure that incoming unsterile surgical trays and individual unsterile implants are sent directly to SPS for proper processing.
  • Responsible for tracking biological and non-biological implants using facility tracking system for the purpose of tracking and notification of affected patients in the event of a product recall in compliance with FDA requirements.
  • Follows Process Flow guidelines as developed by Central Office, VISN Service Line management, and facility Surgery, Prosthetic and Acquisition staff.
  • Periodically evaluate current technology in storage and inventory of supplies, researching optimal equipment needed to meet all storage, safety, TJC, and VA/VHA requirements.
Preferred Experience: Experience with surgical implants inventory.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/14/2026.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-09 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience and/or education as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
    • Prepares daily reports such as gains and losses report, activity logs and other related statistical reports.
    • Extensive knowledge involving enrollment and eligibility determination process.
    • Knowledge of VA rules and regulations relating to hospital admission; outpatient care, nursing home, dental treatment, patient transfer, beneficiary travel and non-VA Care.

  • Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have a Master's degree or equivalent graduate degree OR, 2 full years of progressively higher-level graduate education leading to such a degree OR LL.B. or J.D., if related.
  • OR- Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond 1 full year of graduate level education.
