This is a non-supervisory position.

Job Summary:

The incumbent supports the administration of Member security programs, including invoicing, auditing, record-keeping, vendor coordination, and budget-related tasks. The incumbent processes program submissions to ensure accuracy and adherence with established program parameters.  The job contributes to accurate processing, program integrity, and effective internal controls by maintaining organized records and supporting routine administrative functions.

Duties:

Typical duties include, but are not necessarily limited to:

  • Reviews and processes routine Member security program submissions, confirming required documentation, ensuring adherence to program parameters, and providing recommendations to the Security Programs Manager.
  • Organizes and maintains secure program files and tracking systems to ensure accurate labeling, retention, and controlled handling of sensitive materials.
  • Performs initial invoice reviews and elevates any discrepancies to the Security Programs Manager for further action. 
  • Supports the refinement of standard operating procedures by providing updates to existing guides and workflow documents. 
  • Prepares audit-related document packets and fulfills information requests by following established checklists and evidence requirements. 
  • Composes standard administrative correspondence and completes recurring forms and processing notes using approved templates. 
  • Collaborates with procurement and finance teams by assembling payment materials and ensuring documentation is complete and consistent before submission.
  • Reviews vendor invoices against supporting documentation and reports discrepancies to the Manager or appropriate internal partners for resolution.
  • Adheres to confidentiality and need-to-know policies and promptly reports any concerns related to improper handling, unusual activity, or irregular requests.
  • Notifies supervisors of recurring processing issues or documentation gaps and offers suggestions to improve accuracy, traceability, and compliance.
  • Performs other duties as assigned.

Qualifications

Job Requirements:

  • Strong communication skills, both written and verbal. The job requires preparing time-sensitive reports and communicating with various stakeholders.
  • Ability to gather, analyze, and disseminate information effectively. 
  • Experience in coordinating activities between different organizations or teams. 
  • Ability to handle multiple time sensitive and event driven tasks simultaneously.
  • Ability to accurately review and process program submissions. 
  • Ability to analyze program and financial data, identify issues, and propose solutions.

Preferred Qualifications:
Degree or equivalent experience in accounting, auditing, financial analysis, or contract administration.

Ability to maintain a nonpartisan approach when addressing work and interacting with others. Knowledge of organizational and political reality and ability to act accordingly.
  • Information Security - Knowledge of the principles, methods, and tools for protecting information and information systems from unauthorized access, use, disclosure, disruption, modification, or destruction in order to provide confidentiality, integrity, and availability.

Work Schedule:

Full-time, permanent. Monday – Friday, 8:30 a.m. – 5:00 p.m. Must be able to work outside of normal business hours when necessary.

Physical Requirements and Work Environment:

This job is based in a typical office environment. Actual weight handled varies, but the role involves handling items including books, documents, and equipment weighing up to 25 lbs. The incumbent should be capable of meeting physical requirements, which may include sitting, lifting, bending, crouching, walking, and standing. 

Other Significant Factors:

  • Job requires on-call support.
  • Job does not typically require travel outside of the Capitol campus.
  • Job may be required to report to work in all conditions.
  • Job may require various shifts, extended hours or weekends.
