The position reports to the Department of Veterans Affairs, Veterans Health Administration (VHA), Mid-Atlantic Health Care Network (VISN 6), Central Virginia VA Healthcare System, Richmond VA Medical Center (VAMC), Neurology Service, Sleep Medicine Program (Sleep Section), Richmond, VA. This position is tasked to assist the Neurology Service Chief, Administrative Officer, Sleep Director, and Sleep Technician Supervisor with administrative tasks.

Help

Duties include, but are not limited to:

Administrative Support: - 45%

  • The incumbent utilizes a variety of software programs (VISTA, Somnoware, Concur, Excel, Invoice Payment Processing System etc.) and communication tools to input and retrieve data as required.
  • The incumbent accurately collects, enters, and manages data.
  • The incumbent assists the Administrative Officer, Sleep Director, and Sleep technologist with document preparation of the program budget and prepares annual estimates of a variety of programmatic costs including grants and other special projects.
  • The incumbent maintains a calendar of appointments of staff, meetings, conference calls, and scheduled leave as well as coordinates meetings, prepares travel papers, schedules conferences, and assists the treatment team with all administrative functions.
  • Incumbent functions as application coordinator.
  • This position performs a full range of administrative duties and responsibilities in support of the Sleep Medicine Program, consisting of typing and word processing, filing, referring phone calls and visitors, etc.
  • Manages electronic filing system for historical documentation.
  • Gathers clinical data for service end of the year reporting and submits all sleep yearly budget requests to supervisor.
  • Supports audits to include inventory review.
Program Development Support - 35%
  • The incumbent of this position assists with the development coordination and implementation of a comprehensive sleep medicine program designed to facilitate the delivery of services to the veterans with sleep apnea.
  • Monitors and evaluates utilization of referals and resource, trainings, veteran appointments, caregiver needs, and makes recommendations for improvement for the Richmond Sleep Program by tracking home sleep test completion rates.
Customer Service Projects - 10%
  • Serves as a good point of contact for externa land internal customers, such as medical center staff, Veterans Integrated Service Network (VISN) staff, VA Central Office (VACO) staff, VACO staff, etc..
  • Assists with future proposals/projects that are implemented in the department/division and will be responsible for participation in special events connected with the Sleep Program.
  • Provides general clerical public contract support services such as answering telephone calls, referring visitors, or providing information about the sleep division, its functions and standard operating procedures, as well as other similar information.
Budget Management - 10%
  • Assists the Administrative Officer with tracking monthly and annual sleep clinic funding for assigned program fund control points.
  • Assists in preparing yearly funding requests and quarterly budget reports


Work Schedule: Monday - Friday, 8:00m-4:30pm.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/23/2026.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience with clerical and administrative procedures, knowledge and skills to operate a variety of standard office and computer programs and databases to gather, analyze, and display data utilizing templates, graphics, and spreadsheets; demonstrated experience of office automation systems and word processing the Microsoft Office suite (Excel, PowerPoint, Access, Word, Sharepoint, etc.); able to collect data for development and preparation of statistical reports, surveys, and program evaluation, and prepare quarterly reports to assist with monthly and quarterly reports; working knowledge of the work processes and procedures of an administrative field (scheduling, LEAF, travel, agreements, etc.); expertise with VA Vista and CPRS; knowledge of and experience in working with a military veteran population within a medical/psychiatric environment; time management skills; excellent customer service skills

Preferred Experience: Time keeping, Scheduling, EARR, VISTA,CPRS, CPAP ( continuous positive airway) knowledge

Physical Requirements: The work is primarily sedentary and is performed by sitting, standing, bending, and stooping. The employee is required to obtain records from files, and carry files, manuals, and other light objects. Occasional travel may be required to provide Sleep support at conferences, workgroups, programs, or meetings
