Help

Major Duties and Responsibilities includes but not limited to:
a. Incumbent works with Maintenance Supervisor to schedule repairs and minor improvements within the Medical Center based upon priorities established by the Facilities Manager. Develops and distributes repair schedule to the Maintenance Supervisor.
b. Incumbent is responsible for managing Work Order System so that work orders are entered and closed out promptly and work requestors are informed of work status. Incumbent provides Facilities Management with reports with data generated from work orders and associated sources and makes recommendations for handling and improving work flow.
c. Incumbent follows up on incomplete and completed work orders with Medical Center staff to review details of pending work orders and reviews any problems which may occur.
d. Incumbent is responsible for interpreting established policies and guidelines and works with the Maintenance Supervisor to determine priority of work orders.
e. Performs general office, clerical, and technical support including but not limited to, abstracting information from records for reports, maintaining statistical data, receiving calls, relaying messages and filing correspondence and technical information. Receives delivered goods and checks receipts against purchasing documents. Maintains MSDS files for facilities shop areas. Manages Facilities Maintenance Tool System to include maintaining an accurate tool inventory, managing the repair and maintenance information on all tools, keeping tools in proper order for ease in distribution, and submitting 2237's using GSA and DLA catalogs, government contracts, etc.
f. Incumbent will be required to complete financial training and obtain a Government credit card for departmental purchasing of goods and services in accordance with Federal Acquisition Regulations. This employee will source goods and services thru market research by phone, internet, email and faxed quotes. The incumbent will perform the following actions with minimal supervision: process an average of 8 purchases a day, check status of overdue and partial deliveries, financial reconciliation of all purchases, maintain proper financial records for six years and assist the Finance department with frequent audits.

Qualifications

You may qualify based on your experience and/or education as described below:

GS5

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS-04) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Maintaining schedules for maintenance and/or repair of physical facilities; recording and maintaining information on safety certifications and inspections; collecting and recording budget information; tracking and adjusting work orders; and coordinating contract repairs. OR,
  • Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school. Degree must be relevant to the position to be filled. OR,
  • Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. The education and experience must be directly related to the work of the position to be filled.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: Working environment is both in the FMS office and the field. The employee must be able to reach all places throughout the hospital complex and it is necessary to view the facility and gain sufficient information for perpetration of plans and estimates. Walking, kneeling, crawling, and climbing ladders are involved in the job.

Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
