The Program Assistant position being established and aligned under the Environmental Management Service Line at the Jesse Brown VA Medical Center. The primary purpose of the position is to monitor EMS bed cleaning data from a central command center and providing various reports for maximizing patient flow and reducing patient wait times throughout the medical center thru the utilization of Tele/Tracking/Bed Management System Real-Time Locating System (RTLS) technology.

Help

Duties Include but Not Limited To:

Monitors (BMS) for bed readiness relative to patient tracking through-put information on the computerized bed board.

Monitoring allows the (BFC) to know bed capacity and available bed locations for making informed decisions about the hospital's census based on EMS bed cleaning data. (BMS) streamlines bed turnover, improves through-put, and provides a clear picture of the hospital's capacity in real time.

Ensures that bed turnover (the time a bed is vacated) to the time it is cleaned, and pull times (the time between a patient being admitted to the hospital and reaching a bed).

Communicates EMS work in progress for knowing capacity constraints that lead to increased diversions, longer waiting periods, as well as holds and other throughput challenges.

Dispatches to the EMS Management the need and type of cleaning for a bed upon notification that discharge has occurred.

Collaborates with Clinical Staff for knowing the order of priority of discharge and transfer beds, ensures that staggered shift start and stop times as well as staggered shifts are in place based on peak times for discharges resulting in a dirty bed surge.

Changes status of all bed icons relative to EMS once beds are cleaned and communicated to EMS Management.

Monitors (BMS) computerized bed boards for identifying the validity of service icons, knows the current status of the beds being cleaned and timeline for new patient admission.

Performs other related duties as assigned.

Work Schedule: Monday-Friday 8:00am to 4:30pm

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/03/2026.

You may qualify based on your experience and/or education as described below:

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Examples of specialized experience would typically include, but are not limited to: Monitors the timeliness of notification of patient discharge; Dispatches EMS Management to beds for cleaning upon discharge notification; Monitors (BMS) computerized bed boards, and change status of all bed icons once cleaned and communicated.

Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. (TRANSCRIPT REQUIRED).

Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond 3-year course above high school and specialized experience as described above will meet the total qualification requirements.
