Help

Duties of the position include but are not limited to:

  • Coordinates and supporting mechanisms for successful data collection and entry.
  • Plans, develops, and executes agency programs, the incumbent will provide the vision for development of monitors in measuring all data input.
  • Manages programs that require in-depth training with the HAS Trainer to ensure that HAS and other identified Medical Center staff are educated and accountable for data management.
  • Produces executive reports and analyses dashboards for effective service wide improvements.
  • Coordinates the collection of data concerning patient care activities.
  • Schedules appointments and utilizes the Electronic Waiting List or Recall List accurately and in a timely manner.
  • Notifies the supervisor when clinic access is less than desirable or if an individual patient cannot be scheduled within mandated clinic timeframes.
  • Reviews active/pending consults, Electronic Wait List, Recall list and any relevant communications for accuracy and disposition.
  • Assures that staff update all demographic information on each patient that checks in for their appointment by utilizing the Pre-registration menu as well as gather insurance information either by using the insurance scanners or copying the insurance cards.
  • Reviews work in progress or upon completion and spot checks work as deemed necessary to assess the quality and quantity of work produced by each employee.
  • Informs employees about the policies, procedures and practices of management as they relate to scheduling/recall/EWL/consults/insurance capture.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/07/2026.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 13 position you must have served 52 weeks at the GS 12. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS12 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
    • Reviews action required report daily and manage elevated errors that need correction.
    • Produces executive reports and analyzes dashboards for effective service wide improvements.
    • Coordinates the collection of data concerning patient care activities; makes computations as required and reports monthly, quarterly or annually to management.
    • Communicates effectively with executive leadership and community stake holders.
    • Maintains contact with clinical personnel and other staff in various clinic settings to resolve delays and misunderstandings in the medical administrative aspects of providing medical care.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: The work is primarily sedentary with prolonged periods of sitting. The work requires moderate lifting, carrying, pushing, standing; reaching above shoulder; use of fingers; ability to read without strain; ability to hear the whispered voice with or without hearing aid; emotional & mental stability.

Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
