Duties

Help

As a Secretary (OA), GS-0318-07, you will prepare a wide variety of recurring and nonrecurring personal and executive correspondence, reports, and other documents from information obtained from the staff, files, and other sources. Routinely composes non-technical correspondence, such as office procedures, requests for information concerning the organization's programs, letters of acknowledgment, commendation, or notification. Develops standard or form letters for responding to inquiries and requests for information. Prepares one-of-a-kind reports from information in various documents, reading correspondence and reports to identify relevant items. Proofreads/edits correspondence and documents for correct grammar, spelling, capitalization, punctuation, and format. Independently consolidates and finalizes information for various reports in accordance with established reporting procedures and informs supervisor of important matters and deadlines. Anticipates need for information, gathers and summarizes information from files, and prepares material/documents for supervisor's use in responding to inquiries, recognizing which information is, or is not, relevant to issue at hand. Explains reporting requirements and arranges with subordinate officials for the collection and submission of data. Signs routine correspondence of a non-technical nature in the supervisor's name or in own name as secretary to the supervisor.

Qualifications

AREA OF CONSIDERATION: This position is in the Excepted Service "under the authority of?Title 5, P.L. 114-328, Sections 932 and 1084 (FY17 NDAA)", and is open to US citizens interested in helping the Department of the Air Force meet our mission requirements as a Secretary (OA).

PCS:Permanent Change of Station (PCS) MAY be authorized. Authorization for payment of PCS expenses will be granted ONLY after determination is made that payment is in the best interest of the Florida National Guard.

Recruitment / Relocation: Incentive MAY be authorized. ONLY after determination is made that payment is in the best interest of the Florida National Guard.

FLNG BUS Code 8888: This position is "excluded" and ineligible for labor organization representation.

GENERAL EXPERIENCE: Must have experience, education, or training performing any combination of the following tasks: typing (letters, forms); general clerical (answering the telephone, receiving visitors, composing correspondence, filing, reviewing outgoing correspondence for grammar, format, etc.) stenographic (taking and transcribing shorthand). Experience using computer and automation systems.

SPECIALIZED EXPERIENCE GS07: Must have at least one year of specialized experiences at the GS-05 level or the equivalent which provides knowledge and/or experience prepares a wide variety of recurring and nonrecurring personal and executive correspondence, reports, and other documents from information obtained from the staff, files, and other sources. Experience reviews and processes incoming and outgoing correspondence, reports, and other materials submitted for the Commander's signature. Experience receiving telephone calls, greets visitors and ascertains the nature of the calls or visits, screening those that can be handled without supervisor's help. Experience maintaining supervisor's calendar, coordinates meeting arrangements, and schedules meetings and/or conferences including those involving staff from outside the immediate office. Experience using advanced functions of word processing software to create, format, modify, edit, and print a variety of letters, reports, memos, and other textual documents.

include when your terminal leave will begin, your rank and dates of active-duty service.

Travel requirements in support of these operations may be with little advance notice, and may require employees to briefly relocate to work stations with physically austere and operationally challenging conditions.
