The Program Support Assistant provides a wide range of administrative management duties to the Pharmacy Service and is responsible for serving as primary point of contact for pharmacy related medical center memorandums/pharmacy policies. Providing clerical assistance to the Pharmacy, with record-keeping & other needs related to clerkship rotations for TX Tech University Pharmacy School students. Position located in Pharmacy Service Amarillo VA.

Duties

Help

Duties include:

  • Performing work related to the practical and technical aspects of office administration including issues related to personnel administration, student and residency program administration and support, timekeeping responsibilities, data processing, project tracking and file management.
  • Developing and maintaining all internal policies, procedures, standards of practice (SOP as well as Medical Center policies and protocols that affect Pharmacy Service in providing care to patients and other customers.
  • Performing electronic file maintenance work including computer files and inventory.
  • Assigning all prior authorization drug requests (PADRs) to the designated pharmacists for adjudication.
  • Processing electronically received prescriptions, verifying community care authorization, before processing by a pharmacist.
  • Establishing and maintaining a uniform identification and archive library system.
  • Completing requests for personnel actions and assisting with writing position descriptions and functional statements.
  • Assisting with the coordination of Texas Tech University Health Sciences Center School of Pharmacy student's and resident's rotations and serving as the primary contact for the student and residents.
  • Developing and maintaining a system of records that will provide documentation to meet the requirements of numerous accrediting bodies, such as OIG, TJC, ASHP, and the DEA.
  • Assisting Pharmacy Service leadership with quality management and quality improvement initiatives, as well as the OPPE/FPPE data collection and process management for the clinical pharmacy service.
  • Coordinating annual education training hours, ensuring all staff are kept current on mandatory classes and that each employee achieves the required number of education hours.
  • Acting as a Personal Identification Verification (PIV) sponsor for Medical Center employees, as well as Pharmacy students, in acquiring physical access to the Medical Center.
  • Reporting to management monthly regarding clinical workload with VistA-Generated statistics, as well as VISN 17 data Management reports.
  • Utilizing Microsoft programs to develop spreadsheets, database management, desktop publishing and other functions.
  • Acting as the backup Timekeeper as needed, to maintain all timecards for Pharmacy.
  • Recording minutes for Pharmacy and Therapeutics Committee, Pain Management Committee, Compound Advisory Committee, Pharmacy staff meetings, as well as the Pharmacy Practice QM Committee meetings.
  • Maintaining calendar of records appointments and serving as a Point of Contact for all Pharmaceutical Company Representatives and coordinates all PCRs with the Pharmacoeconomic Pharmacist in the absence of the Administrative Officer.
  • Obtaining and monitoring the use of services, supplies, or equipment for the office, using the proper procedures for procuring, authorizing, controlling and justifying these services and conducting equipment inventory annually for Pharmacy's Equipment inventory list.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/19/2026.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience providing clerical and administrative support for program operations; developing and maintaining policies/procedures; performing electronic file maintenance; performing data management and reporting; conducting equipment inventory; and performing records management of hard copy and electronic records.
