Summary

This position serves as Duplicating Equipment Operator- Mail within Logistics Service located at the Eastern Oklahoma Veterans Affairs Healthcare System Facility in Tulsa, OK. As a Duplicating Equipment Operator, you will perform duties in mailroom that include mail duties and all duplicating/reproduction equipment operations for the facility. The incumbent will submit reports to management, coordinate workflow, and provides needed training to ensure successful daily work center operations.

Duties will include, but may not be limited to the following:

  • Receives of all facility mail from external sources
  • Receipting and handling hazardous and/or perishable materials, urgent and sensitive documents which require a signature;
  • Prepares outgoing mail for processing and sorting into accounting groups, subgroups by class of service and further sorting by machine.
  • Distribution of daily mailings which includes receipt, separation and redistribution within the facility, or external deliveries within time frame appropriate to the time sensitivity of the mail piece.
  • Sort mail for internal distribution.
  • Retrieve and follow procedures for mail requiring delivery
  • Performs special messenger deliveries
  • Analyze mail not addressed and review to determine the intended recipient. This may require control and/or date stamping.
  • Assesses all outgoing mail for proper and complete addressing, proper labeling and packaging.
  • Process labels for various outgoing packages
  • Prepares and monitors daily, weekly and monthly workload reports from automated mail processing equipment, and productivity statistics.
  • Reviews and approves for billings from external offices processing mail at the facility expense for payment
  • Logs mail piece identification and date/time mail piece were received or identified through mail analysis.
  • Provides education to facility employees on acceptability of mail pieces, classes of mail, special mail services and proper addressing and packaging.
  • Operates and maintains the Central Reproduction Unit
  • Performs routine maintenance on machine
  • Reviews reproduction requests
  • Determines the most cost-effective method for duplication of originals within guidelines of management
  • Maintains the supply of inventory

Work Schedule: Monday-Friday, Full Time, 8:00am - 4:30pm

Qualifications

Driver's License Requirement:
Incumbent must possess a current, valid state-issued driver's license for this position. (Please do not submit a copy of your license with your application package. You will be required to show your valid driver's license at the time of your interview.)

GS-04 GENERAL EXPERIENCE:
One (1) full year of specialized experience equivalent to the GS-4 level in the Federal service that equipped you with the progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position being filled.

GS-04 EDUCATION SUBSTITUTION:(TRANSCRIPTS REQUIRED)
Successfully completed 2 years above high school in any field for which high school graduation or the equivalent is the normal prerequisite. This education was obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.

GS-04 COMBINATION OF EXPERIENCE/EDUCATION: (TRANSCRIPTS REQUIRED) Possess an equivalent combination of specialized experience and post high school education as described above that demonstrates my ability to perform the duties of this position. For the GS-04, only education in excess of 30 semester hours (1 year) is creditable. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Physical Requirements: The work involves extended periods of standing and walking, lifting items (occasionally weighing as much as 60 pounds) bending, stooping and pushing carts. May need to utilize a pallet jack to move palletized copy paper, and bulk materials.
