Duties

Help
  • Maintain time and attendance records, inputs timecards into the automated system, and assist personnel in resolving leave problems.
  • Track and order office equipment, supplies, and materials.
  • Receive telephone calls and visitors in the assigned work area; ascertaining the nature of the call and directing to the appropriate personnel.
  • Utilize the Defense Travel System (DTS) to make travel arrangements for the personnel in the assigned work area and submits their travel vouchers.
  • Perform travel related administrative duties (i.e., make/coordinate travel arrangements, submit travel vouchers, coordinate airplane, hotel, and rental car reservations).
  • Maintain a follow-up suspense system to stay abreast of status or completion of department actions.
  • Utilize healthcare systems to enter and retrieve data.
  • Utilize office automation software to create a variety of correspondence and reports for the department and senior leadership.
  • Maintain training and orientation calendars (i.e., training, orientation, and other events.) on departmental internet and intranet websites.

In order to qualify, you must meet the experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Specialized Experience: One year of specialized experience which includes receiving telephone calls and visitors, taking care of routine matters or directing to appropriate personnel; performing timekeeping duties; coordinating travel arrangements; and utilizing automated healthcare systems to generate a variety of correspondence and reports and/or to update data. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06).

OR

One year of specialized experience which includes receiving telephone calls and visitors, directing to appropriate personnel; preparing correspondence in response to administrative matters and/or office procedures; utilizing automated healthcare systems to generate reports and/or to update data; maintaining calendars for appointment scheduling and/or tracking suspense actions. This definition of specialized experience is typical of work performed at the second lower grade/level position in the federal service (GS-05). (Note: Only current Defense Health Agency, National Capitol Region employees located at Walter Reed National Military Medical Center may qualify based on GS-05 specialized experience, IAW Office of Personnel Management's in-service placement rules for one grade interval positions.) Proficiency Required: This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5 minute sample with three or fewer errors.

Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-06).

OR

Time in Grade Requirement (In-Service Placement): Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the second lower grade or equivalent (GS-05).

Additional information
