Help

The incumbent provides support to the BH Service AO, ACOS, and management officials by analyzing, evaluating, and coordinating health care delivery systems and operations within the Service.

Major duties include but are not limited to:

  • This position serves as the ADP Applications (ADPAC) point of contact (POC) for BH Service.
  • Collect and validate service utilization data and ensures that management and clinical information systems are in place and functioning.
  • Responsible for all Service performance monitoring to include; electronic waiting list (EWL), note completion compliance/rate, clinic utilization, encounters close out and note reassignment, missed opportunities (cancelation and no-show rates), access, consult management, 7 and 14 day access monitoring, OFPPE data, physician pay for performance data, and workload reporting timelines.
  • Manage, track, and coordinate DSS labor mapping, new clinic setup and deactivation, clinic profile modification, impromptu or informal staff training on core computer packages, and help desk request liaison/submission for IT issues.
  • Extract, synthesize, organize and present data to Behavioral Health ACOS, AO, VISN and VACO suspense action items and other leadership in a clear concise and logical manor.
  • Suspense actions, surveys, O/FPPE, LMS, and other request as assigned.
  • Compiles monthly, quarterly, and yearly reports as requested by the Service AO.
  • Participate/collaborate in Staff Meetings, committees, and conference calls as assigned and in the absence of the AO to stay apprised of current discussions and policies relevant to service functioning.
  • Prepares recurring and nonrecurring statistical reports for presentation to the BH Service and Medical Center Management as well as VISN level request.
  • Builds spreadsheets using data extracted from computer and Core programs and must posses expert knowledge and skill in the utilization of Excel, MS Word, and Power Point programs.
  • Assists with conducting special projects or studies to analyze, evaluate, and provide recommendations on administrative issues.
  • Reviews information and applies comprehensive analytical techniques and develops recommendations to improve service functions.
  • Types, reviews, and edits outgoing correspondence prepared by the Administrative Officer for grammatical accuracy, appearance, content, and conformance with regulations and correspondence policy as required.
  • Maintain correspondence, reports, and station memorandum, and policies.
  • Develop File manager (FILEMAN) templates to access data and provide a variety of reports for QA/UR monitors in preparation for outside and internal organizational review groups, as well as, veteran service organizations as directed by the Service AO.
  • Supports the Service in utilizing and analyzing data and workload projections, identifies discrepancies, makes corrections, and recommends a course of action to assure accuracy and timeliness of future data input.

Qualifications

To qualify for this position, applicants must meet time-in-grade and specialized experience requirements within 30 days of the closing date of this announcement, 02/04/2026.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements within 30 days of the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Proficient in administrative procedures, computer keyboarding, and Microsoft Office Suite (including MS Word, Excel, and PowerPoint), enabling the tracking of information using a variety of database programs and sources and analyzing pertinent information for tracking and reporting; Thorough working knowledge of computer systems to create necessary spreadsheets, data charts or databases, generates/prepares reoccurring and nonrecurring statistical reports and interprets a variety of data; Collects, compiles, and evaluates various types of data (program, organization, workload, and budgetary); synthesizes this data; develops alternatives or recommendations; and presents/reports findings in a professional and logical manner to management officials; Ability to multi-task on multiple projects at one time; Works independently with minimal supervision. Works and communicates effectively with others both orally and in written form.
