Duties

Help

The Mail Assistant is responsible for assisting the Supervisor and Work Leader with the secure, accurate, economical, and timely processing and dissemination of all mail to the various Smithsonian organizations.

In this position, you will:

  • Process incoming and outgoing accountable mail.
  • Ensure that mail is properly processed before acceptance and within USPS rules and regulations.
  • Utilize knowledge of mailing to differentiate multiple types of mail in order save cost and prevent delays.
  • Assist with notifying customers of their correct mailing procedures.
  • Provide general SI mailing information to customers in the field and reports technical inquiries to the Operations Supervisor.

Qualifications

Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-5 level in the Federal Service.  For this position specialized experience is defined as processing foreign and domestic mail including certified, registered, priority, and ground advantage mail.

Time-in-Grade Requirements: Under competitive merit promotion procedures, any individual who is currently holding, or who has held within the previous 52 weeks, a General Schedule position under a non-temporary appointment in the competitive or excepted service, must meet "time-in-grade" requirements (have served 52 weeks at the next lower grade of the grade for which you are applying).

1. Knowledge of mailroom or office organization to include workflow preparation, filing, sorting, and communicating suggestions of needs and proposed changes to management.

2. Knowledge of mailroom concepts, principles, and policies related to accountable mail tracking and mail processing.

3. Knowledge or USPS mailing policies and standards.

4. Ability to orally communicate clearly and concisely to convey information and conduct briefings and presentations to leadership.

5. Ability to communicate clearly and concisely in writing to a wide range of individuals and organizations (i.e. Memorandums, reports, and emails).
