Duties

Help

Performs a range of administrative tasks, including personnel management, preparing correspondence, and generating reports for multiple departments. Operates various record keeping and personnel processing systems. Assists in recruitment and new hire process; schedules interviews; prepares and sends decline notifications. Compiles and develops Senate Telephone and online directories; enters and maintains information in centralized system; researches and verifies information; updates all directory sections. Reviews and prepares background check packets for SAA vendors; tracks completion and approval; requests ID access. Processes training/conference fee registrations via SAA Purchase Card and/or purchase request; processes voucher payment. Other duties as assigned.

Required Work Experience

  • Five to seven years of customer service/receptionist experience.

  • Ability to handle confidential or sensitive information.
  • Strong knowledge in MS Office applications.

  • Knowledge of, or ability to learn, departmental rules, regulations, procedures, and functions, including policies and regulations set by the Senate Committee on Rules and Administration and the Senate Select Committee on Ethics.

  • Previous congressional experience, preferably within United States Senate offices. 
  • A demonstrated commitment to delivering excellent customer service in a high-stakes professional environment.
  • Strong organizational and time management skills, with the ability to manage multiple priorities under tight deadlines. 
  • Proven ability to work independently while contributing to a collaborative team environment. 
  • Experience supporting recruitment, onboarding, or other human resources processes. 
  • Proficiency in office software and administrative tools, with the ability to quickly learn new systems. 
  • Excellent written and verbal communication skills. 
  • Strong attention to detail and commitment to accuracy in all work products. 
  • Ability to exercise discretion with sensitive and confidential information. 
  • A proactive, solutions-oriented mindset with an interest in improving processes and workflows. 

Working Conditions

  • Since this position requires onsite presence in support of the U.S. Senate when in session, this position requires the employee to be available and prepared to work during government shutdowns, in inclement weather, on holidays, and during late night, overnight, and weekend sessions. In the context of government furloughs, this position is considered excepted.
  • This position directly supports essential services of the U.S. Senate. As such, this position requires the employee be available and prepared to work during government shutdowns, in inclement weather, on holidays, weekends, and during late nights to ensure essential services to the Senate continue without interruption. In the context of government furloughs, this position is considered excepted. 

Education

High School Diploma/ GED.

Senate

The Office of the Sergeant at Arms (SAA) is the largest in size of staff and budget in the Senate. It is responsible for all Senate computers and technology support services, recording and photographic services, printing and graphics services, and telecommunications services. The SAA also provides assistance to all Senate offices with their staffing, mailing, purchasing, and financial needs. The offices of the SAA that are responsible for providing these and other services include Capitol Facilities, the Operations Division, Customer Relations, Financial Operations, Human Resources, and Information Security. The SAA also shares responsibility for the U.S. Capitol Police, the Senate Page Program, the Senate Office of Training and Development, and the Capitol Telephone Exchange. The Sergeant at Arms is an excepted service agency. Employment with the Sergeant at Arms does not confer the "Competitive Status" that generally results from selection and service in Competitive Service agencies.
